Executive Assistant to CEO (C-Suite Level)
📍 Bangalore (Onsite)
🕒 Monday to Friday | 6:00 PM – 3:00 AM IST
Role Overview
We are seeking a high-caliber Executive Assistant to support the CEO in a fast-paced, global environment. This role goes beyond traditional administrative support—it requires strategic thinking, exceptional communication, and absolute discretion.
You will act as a right-hand partner to the CEO, ensuring seamless execution of priorities, proactive decision support, and professional representation across internal and external stakeholders.
Key Responsibilities
Executive Support & Calendar Management
- Manage and optimize the CEO’s complex calendar across multiple time zones
- Prioritize meetings, resolve scheduling conflicts, and ensure strategic alignment of time
- Prepare daily, weekly, and monthly schedules with foresight and efficiency
Communication & Correspondence
- Draft, review, and respond to high-level emails on behalf of the CEO
- Act as a gatekeeper for internal and external communications
- Ensure clarity, professionalism, and timely follow-ups
Meeting Management & Documentation
- Attend key meetings, take structured notes, and track action items
- Prepare agendas, briefing documents, and post-meeting summaries
- Ensure follow-through on commitments and deadlines
Presentation & Reporting
- Create high-impact presentations for leadership meetings, clients, and stakeholders
- Translate ideas into clear, compelling visual formats
- Support data organization and reporting when required
Planning & Coordination
- Maintain personal and professional planners for the CEO
- Coordinate travel, events, and leadership engagements
- Anticipate needs and proactively solve problems
CRM & Operations Support
- Manage and update CRM systems with accuracy
- Track key relationships, follow-ups, and business interactions
- Support operational workflows and executive initiatives
Required Skills & Qualifications
- Proven experience supporting a CEO or senior C-suite executive
- Exceptional verbal and written communication skills
- Strong presence, professionalism, and executive maturity
- Advanced proficiency in Microsoft Office / Google Workspace (especially PowerPoint & Excel)
- Experience working with CRM tools (Salesforce, HubSpot, or similar)
- Ability to manage confidential information with discretion
- Highly organized with strong attention to detail
- Ability to multitask and prioritize in a high-pressure environment
- Strong decision-making and problem-solving mindset
