Role Summary
We are looking for a smart, organized, and proactive Executive Assistant to support our Technical Director in managing day-to-day operations, technical coordination, project tracking, and administrative functions. The ideal candidate is an MBA graduate with 1–3 years of post-qualification experience who is comfortable working in a fast-moving environment, managing multiple priorities simultaneously, and communicating confidently with internal teams as well as external contacts.
What Makes This Role Different
This is not a routine administrative role. You will sit at the center of EON Meditech’s technical operations — directly supporting the Technical Director in project coordination, documentation, vendor and regulatory follow-ups, and internal communications. You will have real responsibility and visibility from day one.
Key Responsibilities
A. Executive & Operational Support
• Manage the Technical Director’s schedule, appointments, meetings, and travel arrangements
• Prepare meeting agendas, minutes of meetings, and follow-up action trackers
• Handle internal and external correspondence on behalf of the Technical Director
• Coordinate between departments — R&D, production, quality, sales, and regulatory teams
• Maintain confidential documents, project files, and technical records in an organized manner
• Prepare presentations, reports, and summaries for management reviews
B. Project & Operations Coordination
• Track progress of ongoing technical and operational projects — maintain project timelines and flag delays
• Assist in preparing project documentation, SOPs, and internal process records
• Follow up with internal teams and external vendors on pending tasks and deadlines
• Coordinate with regulatory and quality teams for documentation and compliance support
• Assist in procurement coordination — vendor communication, quotation follow-ups, purchase orders
• Maintain and update trackers for inventory, project milestones, and team activities
C. Communication & Coordination
• Draft and manage professional emails, letters, and business communication on behalf of leadership
• Liaise with domestic and international vendors, distributors, and partners as needed
• Coordinate logistics for meetings, visits, product demos, and official events
• Support HR coordination tasks — interview scheduling, onboarding documentation, internal notices
• Handle any additional operational tasks assigned by the Technical Director or senior management
Required Qualifications & Skills
Education:
• MBA — Operations Management / Business Administration / Healthcare Management or equivalent
• Additional certifications in project management (PMP, PRINCE2) are an advantage
Experience:
• 1–3 years of post-MBA work experience in an executive assistant, operations, or coordination role
• Experience in a manufacturing, healthcare, or medical device company is preferred
• Freshers with strong internship background in operations or business coordination will be considered
Skills Required:
• Excellent written and spoken English — this is non-negotiable for this role
• Strong MS Office skills — Word, Excel, PowerPoint (intermediate to advanced level)
• Ability to manage multiple tasks and priorities simultaneously without losing attention to detail
• Confident, professional, and clear communicator — both in writing and in person
• Highly organized with strong follow-up and time management habits
• Discreet and trustworthy — will handle sensitive business and technical information
• Hindi and Gujarati language skills preferred for internal coordination
