Job Description – Executive Assistant
Position: Executive Assistant

Role Overview
We are looking for a highly organized and proactive Executive Assistant to provide end-to-end support to senior leadership. The ideal candidate should possess strong coordination, communication, and multitasking skills, with the ability to manage executive schedules, stakeholder communication, documentation, reporting, and administrative operations efficiently.
Key Responsibilities
- Manage executive calendars, schedule meetings, and coordinate appointments efficiently.
- Act as a primary point of contact for internal and external stakeholders.
- Ensure timely follow-ups, communication, and coordination on behalf of leadership.
- Coordinate domestic and international travel arrangements, itineraries, and accommodation bookings.
- Prepare Minutes of Meetings (MoMs) and track action items to closure.
- Create presentations, reports, briefing notes, and business documents for leadership review.
- Generate MIS reports and dashboards for management reporting and decision-making.
- Create and manage Purchase Orders (POs) and vendor bills using Zoho Books.
- Maintain and update client interactions, records, and follow-ups through CRM systems.
- Handle confidential documents, records, and executive communications with discretion.
- Support day-to-day administrative and operational activities of senior management.
Requirements
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Management, or related field.
- 3-8 years of experience as an Executive Assistant, Executive Coordinator, or similar role.
- Strong proficiency in MS Office (Excel, PowerPoint, Word) and Google Workspace.
- Experience working with Zoho Books, CRM systems, and MIS reporting.
- Excellent verbal and written communication skills.
- Strong organizational, time-management, and multitasking abilities.
- Ability to maintain confidentiality and work in a fast-paced environment.
Preferred Skills
- Experience in handling vendor coordination and administrative operations.
- Strong presentation and documentation skills.
- Professional attitude with strong follow-up and coordination abilities.
