Key Responsibilities:
Executive Support & Administration
- Manage calendars, schedule appointments, and coordinate meetings for the
- senior leadership team.
- Excellent communication with skills for drafting mails and related
- communication
- Prepare reports, presentations, and correspondence on behalf of executives.
- Handle confidential information with the highest level of professionalism and
- discretion.
- Act as the primary point of contact between executives and internal/external
- stakeholders.
Travel Desk Management
- Plan and manage all corporate travel arrangements, including flights, hotels,
- transportation, and visa processing.
- Ensure compliance with company travel policies and budget guidelines.
- Maintain and update travel records, itineraries, and expense reports.
- Coordinate emergency travel changes and last-minute bookings as needed.
- Negotiate with vendors and travel agencies for cost-effective and efficient travel
- solutions.
- Meeting & Event Coordination
- Organize internal and external meetings, conferences, and corporate events.
- Handle logistics, including venue arrangements, catering, and presentation
- materials.
- Take minutes during meetings and ensure follow-up on action items.
- Maintain records, databases, and documentation for travel and administrative
- functions.
Process Development & Improvement:
- Design, implement, and continuously refine operational processes and procedures to enhance productivity and quality.
- Utilize data analytics to identify bottlenecks and areas for operational improvement.
Financial Management:
- Oversee budgeting, forecasting, and financial reporting to maintain control over
- operational costs.
- Implement cost-saving initiatives without compromising service quality.
Supply Chain & Logistics:
- Manage inventory, logistics, and supply chain operations to ensure seamless service delivery.
- Coordinate with suppliers and internal teams to streamline processes and mitigate disruptions.
Compliance & Risk Management:
- Ensure operations adhere to all regulatory requirements, company policies, and industry standards.
- Identify potential risks, develop mitigation strategies, and maintain business
continuity plans.
Cross-functional Collaboration:
- •Work closely with departments such as Sales, Marketing, and Customer Service to support overall business objectives.
- Facilitate effective communication across teams to promote synergy and shared goals.
