Reporting To: Director
Location: Kanpur / Factory Office
Key Responsibilities
1. Director Coordination & Time Management
Manage Director’s daily schedule and priorities
Filter unnecessary calls and interruptions
Arrange meetings, appointments, factory visits
Prepare daily task lists and reminders
Ensure pending matters are followed up aggressively
2. Inter-Department Follow-Up
follow up with production
check dispatch timelines
coordinate with purchase
ensure vendor responses
track customer commitments
monitor urgent pending issues
This role is essentially: “getting work done from people.”
3. Communication Handling
Attend and summarize calls
Draft emails, quotations follow-ups, MOMs
Handle WhatsApp coordination professionally
Coordinate with customers/vendors when instructed
Escalate only important matters to you
4. Accounts & Approval Coordination
remind for payments
coordinate receivables
arrange approvals
organize important documents
follow up with CA/accountants
maintain trackers
5. MIS & Reporting
Daily reporting is critical.
pending work list
dispatch status
urgent customer issues
production bottlenecks
staff attendance/escalations
task completion reports
6. Vendor / Worker Coordination
Handle basic worker issues
Coordinate with contractors/vendors
Track outsourced work
Arrange materials/logistics when required
Ensure accountability from teams
7. Personal Assistance (Limited)
Can include:
travel booking
hotel booking
meeting arrangements
document management
basic personal scheduling
Qualifications
- Demonstrated experience in Executive Administrative Assistance and Executive Support, preferably supporting senior leaders.
- Proficiency in core Administrative Assistance tasks, including calendar management, meeting coordination, and document handling.
- Hands-on experience preparing and tracking Expense Reports and related documentation with high accuracy.
- Strong Communication skills in English and Hindi , including clear written and verbal communication and professional email and phone etiquette.
- Proficiency with office productivity tools (e.g., MS Office or Google Workspace) and basic data management.
- Good command over AI tools (e.g., Chat GPT, Claude, Gemini, etc).
- Excellent organizational skills, attention to detail, and ability to handle confidential information with discretion.
- Ability to work on-site in Kanpur, manage multiple priorities, and support cross-functional coordination.
- Diploma or bachelor’s degree in any discipline is preferred; prior experience in manufacturing or engineering environments is an advantage.
Salary Range: Rs. 20000-35000/-
