Role Description
We are seeking a dedicated and professional Executive Assistant for a full-time, on-site position located in Bhubaneswar. The Executive Assistant will be responsible for providing comprehensive executive support, managing administrative tasks, preparing expense reports, and ensuring effective communication on behalf of the executive team. The role involves managing schedules, coordinating meetings, and ensuring the smooth functioning of daily operations. The candidate will work closely with leadership and other team members to support decision-making and organizational efficiency.
Key responsibilities will include:
• Managing calendars, meetings, appointments, and travel coordination
• Preparing minutes of meetings and ensuring timely follow-ups
• Coordinating with internal teams, vendors, bankers, OEMs, consultants, and external stakeholders
• Tracking important tasks, deadlines, documents, and pending matters
• Drafting emails, letters, notes, and communication as required
• Maintaining confidentiality and handling sensitive matters responsibly
• Supporting promoter-level reviews across business, finance, legal, operations, and new projects
Qualifications
- Proficiency in Executive Administrative Assistance and Administrative Assistance skills.
- Experience in managing Expense Reports and providing Executive Support effectively.
- Strong Communication skills, both verbal and written, for internal and external correspondence.
- Excellent organizational and time management skills to handle multiple tasks and priorities.
- Proven ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in office software like Microsoft Office Suite and scheduling tools.
- Bachelor’s degree in Business Administration or a related field is preferred.
- Prior experience in an executive assistant or administrative role is advantageous.
