Executive Assistant to MD & CEO (Coordination & Monitoring Role)

Reporting To: Managing Director & CEO
Role Overview
The Executive Assistant to the MD & CEO will function as a central coordination and monitoring resource, ensuring complete visibility across all departments.
The role is not decision-making or authority-driven, but information-driven and follow-up-driven, ensuring that:
- All departments are functioning smoothly
- Work is not delayed or overlooked
- Any issue, delay, or gap is promptly highlighted to MD & CEO
The individual will act as the eyes and ears of leadership, ensuring seamless information flow and operational awareness at all times.
Key Responsibilities
1. Cross-Department Visibility & Tracking
Maintain regular coordination with all departments:
- Operations & Production
- Marketing
- Commercial / Accounts
- IT
- Cameramen & Shoot Coordinators
- HR & Admin
- Reception
- Housekeeping
Ensure:
- Awareness of all ongoing work, projects, and internal activities
- No task or project progresses without visibility
2. Daily Follow-ups & Status Checks
- Take daily updates from each department
- Track progress of:
- Shoots and assignments
- Deliverables and deadlines
- Internal operational tasks
- Follow up consistently to ensure timelines are being met
3. Issue Identification & Escalation
- Identify:
- Delays
- Miscommunication
- Resource gaps
- Operational inefficiencies
- Immediately highlight concerns to MD & CEO with clarity
- Ensure no critical issue goes unnoticed or unreported
4. Reporting & Updates to Leadership
- Prepare:
- Daily summary updates
- Key pending items list
- Critical alerts (real-time when required)
- Provide MD & CEO with clear, structured visibility without them needing to chase updates
5. Travel & Schedule Coordination (MD & CEO)
- Coordinate travel arrangements including:
- Flight/train bookings
- Hotel accommodations
- Local transportation
- Liaise with drivers of MD & CEO for:
- Daily schedules
- Pickup/drop timings
- Route and travel planning
- Ensure all travel plans are well-organized, communicated, and executed smoothly
- Keep track of changes and update all relevant stakeholders promptly
6. Coordination Support (Non-Authority Role)
- Facilitate communication between departments where required
- Ensure teams are aligned on timelines and expectations
- Support smooth information flow across functions
(Note: The role does not involve decision-making authority or team management.)
7. Meeting & Follow-up Management
- Schedule coordination meetings if required
- Record MOMs (Minutes of Meeting)
- Track and follow up on action points
8. Office Activity Awareness
- Stay informed about:
- Day-to-day office activities
- Staff coordination
- General workflow across departments
- Ensure nothing critical is missed at an operational level
Key Expectations
- High awareness of “what is happening where” at all times
- Strong and consistent follow-ups without hesitation
- Immediate escalation of anything important
- No communication gaps between departments and leadership
- Smooth and error-free handling of MD & CEO travel and scheduling
Required Skills & Profile
- Up to 5 years of relevant experience.
