Role Description
This is a full-time on-site role for an Executive Assistant, based in Agra. The Executive Assistant will be responsible for providing executive administrative assistance, managing expense reports, and offering direct executive support. The role also involves ensuring smooth administrative operations and effective communication while working closely with leadership to meet organisational goals.
Key Responsibilities and Duties-
- Calendar and Schedule Management: Proactively manage complex diaries, schedule meetings and appointments across multiple time zones, resolve conflicts, and ensure executives are prepared and on time for all engagements.
- Communication Handling: Act as the primary point of contact and liaison between the executive and internal/external stakeholders. Screen phone calls and emails, draft responses, and manage the flow of information to protect the executive's time.
- Travel and Event Coordination: Plan and arrange comprehensive travel itineraries, including booking flights, accommodation, and ground transportation. Coordinate corporate events, meetings, and conferences, managing all logistics.
- Document and Information Management: Prepare, edit, and format various documents, such as reports, presentations, and correspondence. Develop and maintain organized electronic and paper filing systems, ensuring the security and confidentiality of sensitive information.
- Financial and Administrative Support: Prepare and process expense reports, manage invoices and basic budgets, order office supplies, and perform general office management duties.
- Project Assistance: Support special projects and initiatives, which may include conducting research, tracking progress, monitoring deadlines, and coordinating with other departments.
Required Skills and Qualifications-
- Experience: Typically requires a minimum of 3+ years of experience in an administrative role, ideally supporting C-level executives.
- Technical Proficiency: Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with relevant project management.

- Organizational and Time Management Skills: Exceptional ability to multitask, prioritize a heavy workload, and meet deadlines in a fast-paced environment.
- Communication: Excellent written and verbal communication skills, with the professional demeanor to interact with all levels of staff and external partners.

- Proactivity and Problem-Solving: A self-motivated, resourceful approach to anticipating needs and solving problems with minimal supervision.
- Adaptability: Flexibility to adapt to changing priorities and work styles, including being available outside normal business hours if required.
- Education: A high school diploma or equivalent is required, while an Associate's or Bachelor's degree in business administration or a related field is often preferred.
