Location: Jaipur onsite ofc (should be flexible to travel to Dubai for a few months in a year)
Job Summary
We are seeking a highly organised, proactive, and detail-oriented Executive Assistant (EA) to provide comprehensive administrative and event coordination support to the Director. The ideal candidate will manage the Director’s email correspondence, coordinate meetings, oversee event registrations, and assist in organising corporate events while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities
1. Executive Support
- Manage and monitor the Director’s email inbox; prioritise, draft, and respond to correspondence as appropriate.
- Handle confidential communications with discretion and professionalism.
- Prepare reports, presentations, meeting notes, and official documents.
- Act as a liaison between the Director and internal/external stakeholders.
2. Meeting Management
- Schedule, coordinate, and manage the Director’s meetings and appointments.
- Prepare meeting agendas, briefing documents, and presentations.
- Record minutes of meetings and track follow-ups/action items.
- Ensure smooth logistics for in-person and virtual meetings.
3. Event Registration & Coordination
- Manage event registrations (internal and external events).
- Maintain attendee databases and ensure accurate record-keeping.
- Coordinate confirmations, communication, and follow-ups with participants.
- Handle registration platforms and related documentation.
4. Event Organisation Support
- Assist in planning and organising corporate events, conferences, seminars, and internal meetings.
- Coordinate with vendors, venues, and service providers.
- Support logistics, including venue booking, materials preparation, guest coordination, and on-site assistance.
- Ensure smooth execution of events and post-event reporting.
5. Administrative Support
- Maintain filing systems and documentation (digital and physical).
- Manage travel arrangements when required.
- Handle expense tracking and reimbursement documentation.
- Perform other administrative duties as assigned.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Management, or related field.
- 3–5 years of experience as an Executive Assistant or similar role.
- Strong written and verbal communication skills.
- Excellent organisational and time-management abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Experience with event registration platforms/tools preferred.
- Ability to multitask and prioritise effectively.
- High level of integrity and confidentiality.
