The ideal candidate will provide top-level assistance across board. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, should be able to draft documents and help the executive with any necessary meeting preparations.
Key Responsibilities
- Calendar & Schedule Management: Coordinate meetings, appointments, and travel itineraries across different time zones.
- Communication Handling: Act as the primary gatekeeper by screening calls, prioritizing emails, and interfacing with clients.
- Reporting & Drafting: Prepare corporate documents, memos, and presentations for internal and external stakeholders.
- Information Flow: Maintain office filing systems and ensure confidential information remains secure.
- Project Planning: Assist with special projects, coordinate company events, and track daily expenses.
Core Competencies
- Time Management: Ability to multitask, prioritize urgent deadlines, and operate well under pressure.
- Tech Savviness: High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint) and other virtual collaboration tools.
- Discretion: Capable of exercising extreme confidentiality and sound judgment.
- Adaptability: A "mind reader" mentality that can preempt an executive’s needs and streamline workflows independently
