About the Role
We are looking for a seasoned, sharp, and exceptionally organized Executive Assistant to serve as the right hand to our Promoter & Founder. This is a high-trust, high-visibility role at the heart of a fast-growing leadership advisory firm.
You will be the single point of accountability for the Promoter's time, information, priorities, and operational cadence — acting as a strategic enabler, not just a scheduler.
This role requires someone the Promoter can trust completely — with confidential information, sensitive communications, business relationships, and personal matters. You will regularly travel with and on behalf of the Promoter for business engagements, client meetings, industry events, and strategic visits, both domestically and internationally.

Key Responsibilities
🗓 Calendar & Schedule Management
✔ Own and manage the Promoter's calendar end-to-end — meetings, calls, reviews, and travel
✔ Anticipate conflicts proactively and reshuffle priorities as needed
✔ Prepare daily and weekly briefs with agenda, attendees, and required prep material
✔ Send timely reminders, follow-ups, and pre-reads
📬 Communication & Correspondence
✔ Draft, edit, and respond to emails and letters on behalf of the Promoter with executive-grade tone and precision
✔ Handle highly confidential correspondence with absolute discretion
✔ Liaise with internal teams, clients, partners, board members, and vendors
✔ Screen calls, visitors, and inbound requests; route or filter as appropriate
📊 Reporting & Data Management
✔ Build and maintain trackers, dashboards, and MIS reports in Advanced Excel
✔ Proficiency in pivot tables, VLOOKUP/XLOOKUP, conditional formatting, charts, and macros is non-negotiable
✔ Compile review-meeting decks, KPI sheets, and expense trackers
✔ Maintain accurate, auditable records and version control
✈ Travel & Logistics
✔ Accompany the Promoter on domestic and international travel as required
✔ Plan end-to-end travel — flights, hotels, visas, ground transport, and itineraries
✔ Manage expense reconciliation and reimbursements post-travel
✔ Coordinate with travel desks, hotels, and concierge services in advance
🗂 Administrative Support
✔ Organize meetings — agenda, logistics, minutes, and follow-up action tracking
✔ Maintain organized physical and digital filing systems
✔ Coordinate with vendors, service providers, and office support functions
✔ Handle ad-hoc personal and professional tasks delegated by the Promoter with full confidentiality
Required Qualifications
→ 5+ years of proven experience as an EA to a Founder, Promoter, MD, or CXO
→ Bachelor's degree in any discipline; post-graduate qualification is a plus
→ Advanced MS Excel — non-negotiable
→ Strong command of MS Office Suite, Google Workspace, and calendar tools
→ Outstanding written and verbal communication in English; Hindi fluency is a strong advantage
→ Valid passport and willingness to travel at short notice, domestically and internationally; candidate must be based in Gurgaon
→ High discretion and uncompromising integrity in handling confidential information
→ Polished, professional demeanor and executive-level presentation
