Role Overview
We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support senior leadership.
This role is focused on ensuring smooth day-to-day operations by managing executive communications, calendars, scheduling, documentation, and coordination across stakeholders.
The ideal candidate is dependable, structured, discreet, and thrives in a fast-paced, high-accountability environment.
Key Responsibilities
1. Executive & Administrative Support- Manage and optimize executive calendars, scheduling internal and external meetings across time zones
- Coordinate calls, video conferences, and follow-ups
- Prepare documents, reports, presentations, and summaries
- Take meeting notes and track action items
- Organize digital files, shared drives, and documentation
2. Email & Communication Management- Manage and triage inboxes efficiently
- Draft and respond to emails on behalf of the executive when required
- Prioritize communication based on urgency and importance
- Ensure timely follow-ups and response tracking
- Maintain professional communication with internal and external stakeholders
3. Operations Coordination- Support operational workflows and ensure tasks move forward smoothly
- Track deadlines and deliverables
- Assist with documentation, process updates, and administrative systems
- Coordinate across teams to ensure alignment and clarity
4. Scheduling & Calendar Optimization- Manage meeting cadence, recurring check-ins, and strategic blocks
- Prevent scheduling conflicts and manage time efficiently
- Anticipate upcoming needs and proactively plan ahead
5. Reporting & Organizational Support- Compile weekly/monthly summaries
- Track key operational metrics where required
- Support leadership with preparation for meetings, events, and presentations
Qualifications & Skills
- 3–5 years of experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator
- Strong written and verbal communication skills
- Exceptional organization and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Google Suite, Microsoft Office, Zoom, Excel/Sheets, and project management tools
- Comfortable working across time zones
- High level of discretion and professionalism
