Executive Assistant
Role Objectives
- Provide primary administrative and strategic support to the CEO, along with additional assistance to other executive team members as required, ensuring seamless operations and achievement of organizational goals.
- Establish, maintain, and continuously improve internal processes that support senior leadership across the organization, while coordinating internal and external resources to streamline workflows.
- Act as a key communication link between executives, employees, and external stakeholders, supporting multiple projects and initiatives.
- Proactively plan and manage executive priorities to ensure alignment with organizational objectives and adherence to best practices.
Key Responsibilities
- Manage the CEO’s professional and personal schedule, including calendars, meetings, correspondence, calls, client interactions, and overall company logistics.
- Coordinate complex scheduling and ensure effective flow of information to senior executives.
- Arrange and manage executive travel logistics, including accommodation, transportation, and itineraries.
- Provide comprehensive administrative support, including document preparation, data entry, spreadsheet management, dictation, and maintenance of filing systems and contact databases.
- Handle all information with the highest level of professionalism and confidentiality.
- Organize executive and team communications, and plan internal and off-site meetings and events.
Required Skills and Qualifications
- Minimum of four years’ experience in an administrative or executive support role reporting directly to senior or upper management.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities, with the capacity to manage multiple priorities simultaneously.
- Proficiency in office productivity tools and the ability to quickly adapt to new systems and software.
- Flexible, proactive team player with a problem-solving mindset and the ability to work in a fast-paced environment.
- Demonstrated ability to handle confidential and sensitive information with discretion.
Preferred Skills and Qualifications
- Experience in budget tracking, expense management, and financial coordination.
- Proven ability to develop, improve, and manage internal processes and filing systems.
