Responsibilities:
Personal Assistance to MD / Director.
Day to day planning and organization of the managing directors diary
Manage and maintain the MDs email account.
Conduct Daily / weekly diary meetings with the MD to discuss upcoming engagements, invitations and other requests.
Role also involves ensuring all administrative duties within the property correlates to the specific departmental procedures and requirements.
Handling correspondence for routine communications.
Creating and maintaining an organized file system, as well as maintaining the following: confidential documents, files that maintain databases and visiting card folders.
Effective coordination with other departments across the group to ensure proper communication flow on behalf of the MD.
Facilitating routine communication with internal key people.
Organizing Domestic & International Travel Arrangements (e.g. Visa, Tickets and hotel arrangements) for MD/ Directors.
Co-ordination with other departments such as Sales, Projects/ Purchase H.R., Finance Dept etc.
Setup meetings and appointments as well as organize venues and hospitality for visitors.
Documents minutes of all meetings as directed by the MD / Director.
Requisite Skills:
Good Communication skills English & Hindi both Written & Communication
Preferable have experience on Secretarial Work.
Able to analyze data and translate results into better solutions
Must be an energetic, effective, self-confident
Critical thinking and creative problem-solving skills
Good Computer skills and experience with the Microsoft Office Suite, with emphasis on superior Excel skills
