Role and title: Executive Assistant
Reports to: CBO/Management
Job Description
· Arrange and manage logistics for Board meetings and events
· Schedule meetings and coordinate calendars
· Draft agendas and prepare meeting documentation
· Develop, compile, and distribute presentation materials
· Record and maintain accurate meeting minutes on behalf of the Board Secretary
· Prepare financial statements, reports, memos, invoices, letters, and other documents
· Handle basic bookkeeping tasks and track expenses
· Prepare weekly, monthly, and quarterly expense reports
· Answer and screen phone calls; route calls or take messages
· Respond to emails and prioritize important communications
· Communicate messages and information to executives
· Act as the primary point of contact among executives, employees, clients, and external partners
· Manage information flow in a timely and accurate manner
· Maintain and manage executives’ calendars; schedule and coordinate meetings
· Organize and prepare materials and logistics for meetings
· Coordinate travel and accommodation arrangements
· Maintain office filing systems; file and retrieve corporate records, documents, and reports
· Oversee and support the performance of clerical staff
· Manage office operations, including supply inventory
· Format and prepare internal and external communications (emails, memos, presentations, reports)
Skills:
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- Strong software knowledge and system handling skills
- Confident with good communication skills
- Proven work experience as an Executive Assistant, Personal Assistant, or similar role
- Excellent knowledge of MS Office tools
- Outstanding organizational and time management skills
- Ability to multitask and prioritize effectively
- Familiarity with office equipment and applications (e.g., e-calendars, printers, copy machines)
- Excellent verbal and written communication skills
- High level of discretion, professionalism, and confidentiality
Qualifications: Any Graduation
Experience: 2 -4 years into relevant field.
Salary: 25k to 40k
