Executive Assistant to Managing Director (EA to MD)

Position Overview
Dlyft India LLP is looking for a highly organized, proactive, and professional Executive Assistant to support the Managing Director in executive coordination, operational follow-ups, communication management, and day-to-day business operations.
The ideal candidate should have strong communication, coordination, documentation, and execution skills with the ability to manage confidential information and work in a fast-paced environment.
Key Responsibilities
Executive & Calendar Management
- Manage the Managing Director’s calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings, leadership reviews, and business discussions.
- Prioritize schedules and ensure effective time management for the MD.
- Prepare meeting agendas, Minutes of Meeting (MOM), and action trackers.
Operations Coordination & Follow-Ups
- Coordinate with departments for operational updates and execution tracking.
- Ensure timely follow-ups on pending tasks, business commitments, and management decisions.
- Monitor task progress, timelines, and closure status for management reviews.
- Maintain regular coordination with teams to ensure accountability and smooth execution.
Communication & Stakeholder Management
- Act as a communication bridge between the MD and internal/external stakeholders.
- Draft professional emails, reports, presentations, and official communication.
- Handle confidential business information with professionalism.
- Coordinate with department heads for updates, reports, and execution status.
Business Support
- Assist the MD in execution of priority business initiatives and projects.
- Prepare MIS reports, dashboards, summaries, and presentations.
- Support management reviews through structured reporting and documentation.
- Track important deliverables and follow-up requirements.
Travel & Event Coordination
- Arrange domestic and international travel, accommodation, and itineraries.
- Coordinate leadership meetings, client visits, and business events.
- Manage hospitality arrangements and event logistics.
Documentation & Administration
- Maintain records, contracts, and important business documents.
- Ensure proper filing, documentation, and data management.
- Support office administration and executive coordination activities.
Required Skills
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Strong follow-up and coordination skills.
- High level of professionalism and confidentiality.
- Proficiency in MS Office (Excel, PowerPoint, Word, Outlook).
- Ability to work under pressure and manage deadlines.
- Strong presentation and documentation capabilities.
- Problem-solving and execution-oriented mindset.
Good to Have Skills
- Experience working with founders, directors, or CXO-level leadership.
- Exposure to manufacturing or fast-paced organizations.
- Knowledge of MIS reporting and dashboard preparation.
- MBA or management background preferred.
Key Performance Indicators (KPIs)
- Effective management of MD calendar and meeting schedules.
- Timely closure of follow-ups and action items.
- Accuracy and timeliness of reports, presentations, and MOMs.
- Coordination efficiency across departments and stakeholders.
- Professional handling of confidential communication and documentation.
- Error-free travel and meeting coordination.
Qualification
- Bachelor’s degree in Business Administration, Management, Commerce, or related field.
- MBA will be an added advantage.
Experience
- 3–7 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
- Experience in executive coordination and operational follow-ups preferred.
