Executive Assistant – Dexif-S45 (Full-Time)
1. Role Summary
Executive Assistant to leadership team-
Operates at intersection of capital markets execution, internal ops and external stakeholder coordination
Objective: Remove operational bottlenecks so leadership focuses on deal judgment, relationships, and strategy

Work is time-sensitive, document-heavy, multi-party, and compliance-bound
2. Key Responsibilities
A. Executive Support (Core)
Calendar management (high-density scheduling across founders, clients, investors)
Meeting prep: Agendas, briefs and follow-ups
Travel management
B. Data Room & Documentation Ops
Organize and maintain data rooms, filings and investor materials
Ensure version control, completeness and audit readiness
C. Stakeholder Coordination
Interface with founders / clients, institutional investors and internal bankers / analysts
Track conversations, commitments, and next steps
Follow up aggressively on pending items
D. Internal Operations
Support leadership in hiring coordination, vendor management and internal tracking dashboards
Assist with team coordination and offsites.
E. Special Projects
Ad hoc problem solving: research, vendor sourcing and process improvements
Assist in building repeatable systems (SOPs, trackers)
3. Candidate Profile
Must-Have 2–6 years' experience as EA / Ops role
Strong organizational rigor (checklists, tracking, follow-through)
Excellent written + verbal communication
Ability to operate in ambiguity and time pressure
4. Tools / Working Style
Google Workspace / Notion / Slack
Data rooms (Drive, Dropbox, etc.)
Microsoft Office
Must be comfortable managing multiple parallel threads without dropping details
5. What Success Looks Like (30/60/90 days)
30 days
Full control of calendars and scheduling
Understand deal lifecycle and stakeholders
60 days
Independently manage coordination across 2–3 live deals
Reduce founder involvement in operational tasks
90 days
Own execution layer for leadership bandwidth
Introduce process improvements / tracking systems
