Position: Executive Secretary to CEO / Executive Assistant to CEO
1. Strategic & Business Understanding
- Strong understanding of business operations, corporate strategy, and industry dynamics.
- Ability to interpret CEO priorities and translate them into actionable coordination across departments.
- Capable of representing the CEO in internal and external meetings when required.
- Ability to prepare briefing notes, summaries, and decision papers for executive discussions.
2. Executive Communication Skills
- Excellent verbal and written communication skills in English (additional languages are an advantage).
- Ability to communicate confidently with senior executives, clients, partners, and government officials.
- Skilled in drafting professional emails, reports, meeting minutes, and presentations on behalf of the CEO.
- Ability to filter information and communicate key messages clearly and diplomatically.
3. Leadership & Representation
- Ability to act as an ambassador of the CEO and the company in high-level meetings and industry events.
- Strong professional presence and interpersonal skills when interacting with clients and partners.
- Ability to manage client visits, executive engagements, and corporate entertainment professionally.
- Maintain confidentiality and professionalism in all interactions.
4. Meeting & Stakeholder Management
- Plan and coordinate board meetings, management meetings, and strategic discussions.
- Prepare agendas, background documents, and follow-up action items.
- Ability to track key decisions and ensure execution by relevant teams.
- Manage relationships with key stakeholders, partners, and clients on behalf of the CEO.
5. Organizational & Operational Management
- Manage the CEO’s calendar, priorities, travel arrangements, and commitments effectively.
- Coordinate with multiple departments to ensure smooth company operations.
- Ability to anticipate issues, resolve problems proactively, and manage multiple priorities simultaneously.
- Strong project coordination and follow-through capabilities.
6. Client Engagement & Hospitality
- Comfortable meeting clients, partners, and investors alongside the CEO.
- Ability to organize business dinners, networking events, and executive meetings.
- Demonstrate professional etiquette, cultural awareness, and hospitality skills.
7. Confidentiality & Integrity
- Ability to handle highly sensitive business and personal information with strict confidentiality.
- High level of integrity, discretion, and trustworthiness.
8. Personal Attributes
- Highly organized, proactive, and detail-oriented.
- Strong emotional intelligence and diplomacy when handling different personalities.
- Ability to work under pressure and maintain composure in high-level environments.
- Professional appearance and conduct suitable for representing the CEO and company at executive level.
9. Experience & Qualifications
- Degree in Business Administration, Management, Communications, or related field.
- 5–10+ years of experience supporting senior executives or CEOs in a corporate environment.
- Experience in multinational or high-growth companies is an advantage.
- Advanced Proficiency in MS Office, business reporting tools, and presentation preparation.
