Bharat Diamond Bourse (BDB) is a non-profit organization established in 1984 to support the export and promotion of diamonds and diamond jewelry from India. It was founded by members of the diamond exporters' community in collaboration with the Minerals and Metals Trading Corporation of India. BDB aims to position India as a global hub for gems and jewelry trading by providing state-of-the-art infrastructure and support services for both domestic and international buyers and sellers. The organization works to foster collaboration between the Indian diamond trade and global markets, advancing India as a sophisticated and modern diamond trading center.
Role Description
1. Committee & Meeting Coordination
Manage and coordinate meetings for:
- Various Standing Committees
- Informal Standing Committees
- Vendor Meetings
- HOD Meetings
- Emergency Task Force Meetings (as required)
Committees Handled
- Admin, Finance & Audit Committee
- Asset & Facility Management Committee
- Arbitration, Disciplinary & Grievances Redressal Committee
- Bye-Laws & Legal Committee
- Enrolment Committee
- Estate, Food & Revenue Generation Committee
- Utilities, IT, Digital & Physical Security Committee
- BDB Sports Foundation
- Trade Management Panel
- Property Management Panel
- Trade Disciplinary Committee
- HR & Executive Evaluation Committee
- Exhibition Core Committee
2. Meeting Management
- Schedule meetings via calls, emails, and messages
- Check venue availability and coordinate bookings with Admin
- Arrange Zoom/virtual meetings with IT support
- Prepare:
- Agendas
- Supporting documents
- Presentations (PowerPoint)
- Circulate finalized agendas to committee members
3. Minutes of Meeting (MOM) Management
- Draft, finalize, and circulate MOM
- Coordinate approvals with HODs and committee members
- Maintain proper documentation:
- Printing, scanning, and filing
- Record maintenance and retrieval of MOM/extracts
- Ensure signed copies are archived properly
4. Arbitration & Disciplinary Committee Coordination
- Coordinate with complainants, respondents, and committee members
- Send meeting invites via calls, emails, and official letters
- Prepare case summaries as per requirements
- Maintain complaint records and documentation
- Follow up on email communications and case progress
5. Complaint Handling Support (Security Department)
- Assist in handling dispute/disciplinary complaints
- Provide coordination support for off-record resolutions
- Manage communication, meeting scheduling, and documentation
6. Managing Committee Support
- Prepare agendas with extracts from standing committees
- Coordinate with Company Secretary for submissions
- Provide MOM updates and annexures for meetings
7. HOD & Internal Coordination
- Schedule and coordinate HOD meetings
- Follow up for inputs, agendas, and approvals
- Assist HOD in:
- Case summaries
- Query resolution
- Inter-department coordination
8. Communication & Drafting
- Draft letters, notices, and circulars (Gujarati & English)
- Respond to member queries and official communications
- Manage leave of absence records and notifications
9. Event & Vendor Coordination
- Coordinate domestic and international visits/events
- Liaise with:
- Vendors
- Event managers
- Media partners
- Manage logistics:
- Venue booking
- Food & hospitality
- Security permissions
10. Travel Management
- Arrange travel (air tickets, local transport) for committee members
11. Emergency Coordination
- Handle SOS/emergency meeting notifications
- Coordinate urgent communication with stakeholders
Key Skills Required
- Strong coordination & organizational skills
- Excellent written and verbal communication
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Ability to manage multiple stakeholders
- Documentation and record-keeping expertise
Preferred Candidate Profile
- Female candidates preferred
- Gujarati language proficiency required
- Experience in administrative or committee coordination roles preferred
