Essential Job Duties and Responsibilities:
- Administrative Support:
- Provide high-level administrative support to Executive Team, including managing schedules, appointments, and travel arrangements.
- Handle incoming emails and correspondence, ensuring timely responses and appropriate prioritization.
- Travel Booking & Coordination
- Coordinate domestic and international travel including flights, accommodations, ground transportation, and detailed itineraries.
- Ensure leadership is fully prepared for all travel-related commitments and anticipate any logistics needs.
- Expense Management:
- Track and reconcile expenses, ensuring accuracy and compliance with company policies.
- Submit expense reports in a timely manner.
- Calendar & Meeting Coordination
- Manage executive calendars, schedule appointments, and coordinate meetings to optimize time management across time zones.
- Anticipate and proactively address scheduling conflicts.
- Schedule, coordinate, and prepare materials for meetings and conferences; take minutes and distribute summaries.
- Departmental Support – Experience, Culture & Recruiting
- Serve as a cross-functional support resource across the Experience, Culture, and Recruiting departments, helping bridge communication and coordination between teams.
- Help plan and coordinate NEO Days, including logistics, scheduling, communications, and any materials or resources needed to execute successfully.
- Assist with company event planning from concept through execution — coordinating vendors, venues, agendas, travel, and on-site needs.
- Support the Recruiting team with scheduling, candidate coordination, and administrative tasks to keep the hiring process running smoothly.
- Assist with gifting programs tied to culture and recognition initiatives, ensuring timely and thoughtful delivery for team milestones, events, and client touchpoints
Non-Essential Job Duties and Responsibilities:
- Adopts NEOs values in work behavior, decision making, contributions and interpersonal interactions.
- Promotes interdepartmental communication and culture.
- Lead, develop and motivate the team across all locations and operational functions.
- Continued focus to ensure all families (Internal and External) are receiving the best possible service.
Qualifications and Skills:
- Bachelor's degree or equivalent experience in a related field.
- Proven experience as an executive assistant or in a similar administrative role.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office suite and other relevant software.
- Discretion and ability to handle confidential information.
