Job Title: Executive Assistant to Director (Multi-Company Operations)
Location: Hybrid

Role Overview
We are looking for a highly driven, sharp, and execution-focused Executive Assistant to the Director who can operate as a force multiplier across multiple companies under a single leadership. This is not a typical assistant role — this is a high-responsibility, high-ownership position where you will act as the Director’s right hand, ensuring seamless coordination, execution, and scale across businesses.
You will be expected to think like an operator, act like a founder, and execute like a machine.
Key Responsibilities
1. Director’s Office Management
- Manage calendar, meetings, travel, and priorities with strategic alignment
- Act as a gatekeeper and decision filter for all incoming communication
- Prepare agendas, briefing documents, and follow-ups for all meetings
- Track key decisions and ensure execution across teams
2. Multi-Company Coordination
- Oversee day-to-day coordination across multiple businesses under the Director
- Ensure alignment between teams (sales, operations, finance, marketing)
- Monitor progress of projects across companies and report deviations
- Act as a central communication bridge between leadership and execution teams
3. Execution & Project Management
- Take ownership of high-priority projects and ensure timely execution
- Break down strategic goals into actionable tasks and track deliverables
- Build systems, SOPs, and workflows to improve efficiency across companies
- Coordinate with vendors, partners, and internal teams
4. Business & Strategic Support
- Conduct research, competitor analysis, and market intelligence
- Assist in preparing business presentations, reports, and proposals
- Support in deal structuring, negotiations, and partnership coordination
- Identify inefficiencies and suggest improvements
5. Financial & Administrative Oversight
- Track budgets, payments, and basic financial workflows
- Coordinate with accountants, legal teams, and consultants
- Maintain MIS reports and dashboards for all business units
- Ensure compliance, documentation, and contract management
6. Communication & Representation
- Draft emails, proposals, and official communication on behalf of the Director
- Represent the Director in internal and external meetings when required
- Maintain confidentiality and professionalism at all times
7. Personal Efficiency Management
- Handle selective personal tasks to optimize Director’s time
- Ensure the Director is focused only on high-leverage activities
Ideal Candidate Profile
- Experience: 2–6 years in EA, business operations, consulting, or startup roles
- Education: Bachelor’s degree (MBA preferred but not mandatory)
- Mindset: Ownership-driven, proactive, problem-solver, execution-focused
- Skills:
- Strong organizational and multitasking ability
- Excellent communication (written & verbal)
- High attention to detail
- Ability to work in ambiguity and fast-paced environments
- Strong analytical and decision-making skills
Must-Have Traits
