Key Responsibilities
1. Meeting Governance & Coordination
• Plan, schedule, and coordinate business review meetings, leadership discussions, and cross-functional forums.
• Develop and circulate structured meeting agendas in advance, ensuring alignment on objectives and discussion priorities.
• Ensure all relevant data, reports, and presentations are collated and shared prior to meetings for informed decision-making.
2. Documentation & Communication
• Capture detailed, accurate, and actionable Minutes of Meeting (MOM), highlighting key discussions, decisions, and next steps.
• Disseminate MOMs within defined timelines, ensuring clarity and completeness.
• Maintain a repository of all meeting records, ensuring easy accessibility and version control.
3. Action Tracking & Follow-ups
• Track action items arising from meetings and proactively follow up with stakeholders to ensure timely closure.
• Provide periodic status updates to leadership on pending, completed, and overdue action points.
• Escalate delays or risks in execution in a timely and structured manner.
4. Stakeholder Management & Coordination
• Liaise with cross-functional teams to gather inputs, updates, and data required for leadership reviews.
• Act as a communication bridge between senior leadership and internal/external stakeholders to ensure alignment and clarity.
• Build strong working relationships to enable smooth coordination and collaboration across teams.
5. Reporting & Presentation Support
• Assist in the preparation of high-quality presentations, dashboards, and reports for leadership reviews.
• Compile and analyze data to support business discussions and decision-making.
• Ensure consistency, accuracy, and professionalism in all deliverables.
6. Administrative & Operational Support
• Manage documentation, records, and trackers related to meetings, projects, and business updates.
• Support leadership in ad-hoc coordination, scheduling, and operational tasks as required.
• Ensure adherence to timelines, processes, and organizational standards.
