Executive Assistant to the COO
Job Description
Join our journey as the Executive Assistant to the COO. We are seeking a highly organized, energetic, and execution-focused individual to provide critical executive support in a fast-growing environment.
This role goes beyond calendar management. You will act as the COO’s right hand in driving execution, ensuring follow-through across teams, managing communication, supporting travel coordination, preparing Financial MIS reports, and assisting in statutory compliance tracking.
The ideal candidate must combine professionalism, urgency, attention to detail, and strong follow-up ability.

Key Responsibilities
1. Executive Support- Manage the COO’s calendar with strategic alignment and efficiency.
- Prioritize meetings, commitments, and time blocks effectively.
- Ensure preparedness for internal and external engagements.
2. Task Execution & Follow-Up
- Convert discussions into actionable task lists.
- Follow up with internal teams to ensure deadlines are met.
- Maintain trackers and drive tasks to closure.
3. Travel Coordination
- Plan domestic and international travel with meticulous attention to schedules, logistics, contingencies, and cost efficiency.
4. Communication Excellence
- Act as the primary coordination point for COO communications.
- Draft professional emails, notes, meeting agendas, and follow-up summaries.
- Maintain high standards of etiquette and professionalism.
5. Financial MIS Reporting
- Prepare daily, weekly, and monthly MIS dashboards for management review.
- Consolidate data from multiple departments into structured reports.
- Track KPIs, budgets, collections, operational metrics, and management summaries.
- Ensure reports are accurate, timely, and decision-useful.
6. Statutory Compliance Coordination
- Maintain tracker of key statutory filings and deadlines (GST, TDS, PF, ESI, ROC, labour compliance, etc.).
- Coordinate with finance team, consultants, auditors, and legal professionals to ensure timely compliance.
- Escalate risks, delays, or missing submissions proactively.
7. Industry Awareness
- Stay updated on fintech, lending, NBFC, and startup ecosystem developments.
- Share relevant insights with the COO where useful.
8. Adaptability & Flexibility
- Thrive in a dynamic startup environment with changing priorities.
- Handle confidential matters with maturity and discretion.
Qualifications
- Bachelor’s degree in Business Administration, Commerce, Finance, or related field.
- Proven experience supporting C-level executives / founders / senior management.
- Strong experience in MIS creation, reporting, and Excel-based analysis.
- Working knowledge of statutory compliance processes.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal skills.
- High energy with relentless follow-up ability.
- Proficient in MS Office (especially Excel, Word, PowerPoint) and calendar tools.
Preferred Skills
- Advanced Excel (Pivot Tables, Lookups, Dashboards, MIS formats)
- Familiarity with Tally / Zoho Books / ERP systems
- Ability to summarize numbers into management insights
- Strong sense of urgency and ownership
