Role Description
This is a full-time, on-site role for an Executive Assistant at Aarvee, located in Hyderabad. The Executive Assistant will provide high-level administrative support to executives, manage daily schedules, prepare and maintain various reports, and assist in coordinating meetings and events, travel arrangement. Key responsibilities include effective communication with various stakeholders, organizing and prioritizing tasks, and ensuring the smooth functioning of executive operations. The role calls for a proactive approach to problem-solving, a keen eye for detail, and the ability to maintain confidentiality and professionalism in all tasks.
Job Responsibilities:
- Managing calendars, organizing meetings, and ensuring smooth day-to-day operations
- Gather division-level data and prepare comprehensive analytics reports, including Management Information System (MIS) reports, to support performance tracking and strategic planning.
- Work closely with multidisciplinary teams to ensure timely completion of tasks, aligning with division goals and objectives.
- Serve as the primary liaison between the division and the Head Office, streamlining communication to address and resolve division-level issues effectively.
- Assist in implementing key corporate initiatives within the division, ensuring alignment with organizational goals.
- Collaborate with teams to produce division-related content, including magazine articles, promotional materials, and slide decks for presentations.
- Preparing and managing Expense Reports with accuracy
- Handling time-sensitive tasks effectively
- Coordinating with the respective team for Travel arrangement and other logistics details
Key Skills & Competencies:
- Bachelor’s degree in Business Administration or a related field is preferred
- 2+ years of experience in relevant field
- Strong analytical skills for data collection and report preparation
- Excellent coordination and organizational skills
- Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Word
- Effective communication skills to manage cross-functional collaboration
- Ability to handle multiple tasks with attention to detail and meet deadlines
