At GrowQR AI, we understand that building a great organization requires deliberate facilitation - someone who curates the founder's environment so the best ideas can surface and scale.
As Executive Assistant to the Founder's Office, you will act as a force multiplier for the founder. This is not administrative support in the traditional sense — it is context management, priority orchestration, and execution enablement. You will ensure that time, attention, and decisions are consistently directed toward the highest-leverage outcomes, while shielding the founder from avoidable noise.
This role demands judgment, discretion, anticipation, and ownership - not just task execution.
What You'll OwnFounder's Office & Stakeholder Management- Support GrowQR AI's internal and external stakeholders with communication, coordination, and information presentation
- Maintain strict confidentiality, discretion, and trust in handling sensitive information
- Own all stakeholder interactions on behalf of the founder — investors, employees, vendors, and customers
- Manage outbound and inbound communication flow across industry contacts, leaders, and candidates
- Draft emails, manage follow-ups, and handle calls on the founder's behalf
- Ensure no thread goes cold — close loops without founder intervention
Calendar & Time Gatekeeping- Own the founder's calendar end-to-end
- Negotiate meeting slots to fit the founder's working rhythm and protect deep-focus time for thinking and building
- Build and enforce a meeting prioritization framework that minimizes decision delays
- Cluster related meetings to reduce context-switching fatigue
- Default bias: fewer, denser, more intentional calendar blocks
Meetings & Information Flow- Gather background on meeting participants and keep the founder informed and prepared ahead of every engagement
- Formulate clear agendas, shadow meetings, and follow up on resulting action items
- Prepare executive reports and regularly scheduled administrative reports
- Ensure smooth flow of information across the organization to support broader business operations
- Proactively identify workflow inefficiencies and recommend improvements to reduce friction for the founder
Operations & Compliance- Track leave announcements and follow up on necessary approvals
- Manage international travel itineraries for the founder and team, including visa processing and vendor coordination to resolve travel disruptions
- Arrange office and leadership visits, and coordinate internal events and all-hands meetings
- Support statutory audit compliance - sending notices, gathering attendance, and documenting board resolutions for board meetings and AGMs, in coordination with the Company Secretary
- Coordinate legal agreement drafting with legal consultants — proofreading, documentation verification, and preparation of agreements and NDAs

- Excellent written and verbal communication — clear, concise, and outcome-focused
- High emotional intelligence, particularly in managing founder bandwidth
- Strong organizational skills for managing calendars, priorities, and follow-ups at scale
- Sound judgment on when to act independently versus when to escalate
- Ability to anticipate needs rather than wait for instructions
Experience That Will Accelerate You- Experience supporting senior leaders or founders in fast-paced environments
- Exposure to startups, scale-ups, or founder-led organizations
- Experience managing multiple stakeholders across functions and time zones
- Familiarity with tools such as Microsoft 365, calendar systems, task trackers, and documentation platforms
- Experience in roles requiring discretion, trust, and the handling of sensitive information
Core Requirements- 2 to 5 years of experience operating as an Executive Assistant, Operations Associate, or in a comparable high-velocity environment.
- Flawless written and verbal English communication skills, with the capability to seamlessly shift from drafting precise investor briefings to engaging candidate outreach.
- High proficiency with Google Workspace, Slack, Excel, and other standard tools essential for modern team workflows.
