About the Company
VAHN is a fast-growing Hyderabad-based technology company building the operating system for Indian logistics. Our software helps fleet and trucking businesses run their operations smarter — giving them real financial control and visibility over every truck. We move fast, hold a high bar for execution, and value people who take ownership.
About the Role
We are seeking a highly reliable, organized, and proactive Admin Assistant / Executive Assistant to support the CEO and leadership team across administration, operations, CRM coordination, HR, finance support, vendor management, facilities, and project follow-ups. This role requires strong ownership, attention to detail, and the ability to manage multiple priorities while coordinating with internal teams and external stakeholders.
Responsibilities
Core — where most of your time goes
- Executive & administrative support: manage the CEO's calendar, meetings, reminders and leadership task tracking.
- Coordination & communication: act as a dependable liaison between the leadership team, internal functions (CRM, product, support, finance, HR) and outside stakeholders; ensure timely responses and clean closure.
- Documentation & records: maintain organised digital and physical filing, version control, approvals and official correspondence so information is always findable.
Supporting — important, handled alongside the core
- Vendor & facilities management: vendors, contracts, invoices, office supplies, pantry, repairs, housekeeping and day-to-day office upkeep at Banjara Hills.
- Travel & logistics: book flights, trains and hotels; build itineraries; manage changes, reimbursements and expense documentation.
- HR & payroll support: assist with onboarding/offboarding, employee records, leave tracking, payroll coordination and internal communications.
- Finance, banking & compliance coordination: support GST, statutory and banking documentation and audit information requests, working with the accounts team.
- CRM coordination: log and follow up on CRM issues and requests with the product/support teams (training provided — no technical background required).
Qualifications
Roughly 3–7 years of work experience. Prior EA/admin experience is welcome but not required. Graduate degree preferred. Fluency with Excel/Google Sheets, email and calendar tools, and a willingness to adopt new software, is expected.
Required Skills
- Exceptionally organised — you build systems, keep lists, and never rely on memory alone.
- Dependable and trustworthy — when something is handed to you, it is genuinely handled; you are discreet with sensitive information.
- Proactive and task-oriented — you anticipate needs, close loops without being chased, and take ownership of outcomes.
- Sharp and quick to learn — you pick up new tools and context fast, and use good judgement when priorities shift.
- Strong communicator — clear, professional written and spoken English and Hindi (Telugu a plus); comfortable coordinating with senior and external stakeholders.
- Calm under pressure — you stay calm, warm and precise when juggling many priorities at once.
- Committed — you're looking to grow in this kind of role for at least three years.
Location and Work Mode
Based at our Banjara Hills (Road No. 10), Hyderabad office. This can be a full-time in-office role, or a work-from-home arrangement with at least one fixed day per week working physically from the office.
