Roles and responsibilities:
Purchase and Inventory Management
The executive will be responsible for purchase and inventory management across Akshayakalpa Organic facilities, office premises and departmental operations in Pune, Maharashtra.
Key Responsibilities of the executive:
- Purchase
- Lead and manage the end-to-end purchase function, including vendor management, contracts, and agreements.
o Ensure all purchases are aligned with the “Just-in-Time” procurement approach.
o Conduct daily review of purchase requisitions and initiate the procurement process accordingly.
o Obtain competitive quotations for all purchase requirements.
o Ensure proper market price evaluation and effective negotiation before finalization of orders.
o Prepare comparative analysis of quotations received and recommend the most suitable vendor.
o Ensure timely release of purchase orders and work orders.
- Follow up with vendors after release of purchase/work orders to ensure timely execution and delivery.
- Coordinate with stores, site, and concerned departments for material receipt and verification.
- Monitor delivery schedules and resolve any supply or vendor-related issues.
- Ensure proper documentation, invoice verification, and payment process coordination.
- Ensure end-to-end tracking of the Procure-to-Pay (P2P) process, including timely review, follow-up, and closure of all procurement activities
- Ensure compliance with company policies, contractual terms, and procurement procedures.
o Ensure end-to-end inventory management and control for the assigned location, maintaining accuracy, accountability, and optimum stock levels at all times.
o Stock category includes but not limited to finished goods stock, packing material and consumables, farm stores, medicine and supplies at field, lab consumables, promotional materials, stock at organisation facility and offices including outsourced locations.
o Ensure systematic and scientific inventory management to maintain optimum stock levels at all times, avoiding both excess stock and shortages.
o Ensure timely inward and outward movement of materials with proper documentation and approvals.
o Ensure adherence to FIFO / FEFO inventory practices wherever applicable.
o Maintain minimum and safety stock levels based on consumption trends and business requirements.
o Physical stock taking on daily, fortnightly and monthly basis as applicable.
o Carry out month-end physical stock taking and inventory valuation for monthly book closure.
o Reconcile physical stock with system stock and ensure accuracy of inventory records in SAP
o Ensure accurate SAP entries for all inventory transactions including GRN, issue, transfer, adjustment, and stock reconciliation.
- Compliance & Quality
- Ensure compliance with organizational purchase and inventory management policy and protocols.
· Operations & Coordination
- Coordinate for indent sourcing, purchase and work order release, payment release with concerned departments.
- Support marketing teams for smooth movement of BTL inventory logistics.
o Strong self and support staff management skills.
- Strong knowledge of purchase and inventory management functions.
- Data management and reporting (Excel, MS office).

Reporting and feedback: Purchase and Inventory Management Executive will be reporting to Mr. Ritraj and will receive critical feedback from the Mr. Ritraj & Finance Department on periodic basis.

Subject to Revision of JD based on the Management Discretion.
Education and/or Work Experience Requirements:
· Minimum 3 Years of working experience in accounting, purchase and inventory management function.
· Minimum post-graduation from recognized university/institution.
· Excellent computer proficiency (MS Office – Word, Excel, and Outlook).
· Excellent verbal and written communication skills, including ability to effectively communicate with support service providers, company staff and other stakeholders.
· Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
Physical Requirements:
· Should be willing to work and travel anywhere in Maharashtra.
· Should have a Two-wheeler, helmet along with Vehicle documents, Driving License, and Insurance.
