SUMMARY: Supervises the daily operations of the National Account Billing Department, including the timely and accurate generation of all monthly billings, adjustments, cash receipts, and past due notices. Performs credit and collections function.  Ensures that new National Account customers are properly onboarded.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

To perform this job successfully, the NAS Billing Manager may be expected to perform some or all of the duties listed. 

Establish good working relationships with National Accounts points of contact and NAMs.

Ensure customer accounts are set up in MasterMind as outlined in the customer profile.

Ensure contact is made with the customer after initial billing to ensure satisfaction with invoice presentation.

Establish and improve accounts receivable policies and procedures with regard to billing, cash applications, and collections.

Perform and oversee cash applications function as necessary; prepare and/or approve customer credits and other adjustments. 

Prepare correspondence as needed.

Converse with customers to resolve any problems or questions relating to billing and collections. 

Attend management meetings. 

Solve escalated billing issues, work with collection team to approve settlements and special payment arrangements.

Ensure National Account billing workload is evenly distributed.

Consistently review billing account assignments to ensure efficiency.

Ensure customer profiles are updated appropriately if billing requirements change

Ensure all National Account service calls are reviewed and closed within established guidelines.

Handle any customer calls or communication that requires escalation beyond Supervisor level and ensure that management is aware of any potential issues

Perform all other duties and projects as assigned. 

                 

SUPERVISORY RESPONSIBILITIES  

Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include:  interviewing, hiring and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.    

 

KNOWLEDGE, SKILLS AND ABILITIES 

Knowledge of Everon’s billing services. 

Knowledge of Everon’s policies and an understanding of state and federal laws. 

Advanced Spreadsheet Knowledge required. 

Knowledge of and experience using the principles and practices of supervision. 

Knowledge of and familiarity with the alarm industry. 

Knowledge of and a proficiency in using Computer and Microsoft Office applications (Word, Excel, Access, Outlook), and Internet. 

 

Skills 

Must have good oral and written communication skills. 

Must have good interpersonal and teamwork skills. 

Must have good customer service skills and be able to apply tact, diplomacy, reason and logic. 

Must be very organized and detail oriented. 

Must have strong communication skills, including written, to assist internal and external customers.

Frequent need for creativity and problem analysis. 

 

Abilities 

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.   

Ability to write reports, business correspondence, and procedure manuals.   

Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. 

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.   

Ability to apply concepts of basic algebra and geometry. 

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. 

Ability to adapt to changes in the work environment, delays or unexpected events; manage competing demands; change approach or method to best fit the situation.

Ability to concentrate on a task over a period of time without being distracted.

Ability to maintain composure, keep emotions in check and avoid aggressive behavior, even in very difficult situations.

Ability to read and interpret applicable documents, materials, policies, procedures, etc. as presented in English.

 

PHYSICAL DEMANDS 

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; twist; use hands to handle; push; pull or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear. 

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.  

Must be able to carry a laptop computer and other necessary demonstration equipment when visiting customers.

Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus.

WORK ENVIRONMENT   

Normal office environment. 

The noise level in the work environment is usually moderate.

 

MINIMUM QUALIFICATIONS 

High School Diploma or General Education Degree (GED) and at least three years related experience and/or training to include one year of supervisory experience.

Associate's degree (A. A.) or equivalent from two-year College or technical school preferred; or equivalent combination of education and experience.
