The Unit Secretary/Staffing Coordinator provides clerical and administrative support for the Resident Care department, maintains required records in compliance with regulations, and coordinates appointments for residents. This role also schedules and manages staff coverage to meet resident care needs in collaboration with nursing leadership.
ESSENTIAL FUNCTIONS:
- Monitor facility access using security systems including video cameras, intercoms, alarms, Wanderguard, and fire alarm systems.
- Greet, direct, and provide information to residents/tenants, families, staff, and visitors in a professional and courteous manner.
- Answer and route telephone calls; relay messages and respond to routine requests appropriately.
- Assist with resident admissions, transfers, room changes, and related documentation and notifications.
- Maintain resident charts and clinical records in accordance with federal, state, and local regulations.
- Schedule and coordinate physician visits, appointments, lab work, pharmacy orders, and diagnostic services, including transportation arrangements.
- Transcribe physician orders under the supervision of the Charge Nurse as appropriate.
- Prepare and maintain required documentation and reports; submit maintenance and work requests as needed.
- Maintain inventory of clerical and office supplies for the unit.
- Prepare and post staff schedules for resident care departments in accordance with established guidelines and staffing needs.
- Monitor daily staffing levels and secure coverage for call-ins or scheduling changes as needed.
- Communicate staffing needs and hiring requests to the Human Resources department.
- Maintain effective communication and positive working relationships with employees, leadership, and department partners.
- Perform additional duties as assigned by the Director of Nursing and/or Executive Director.
Education And Experience:
- A high school diploma or GED equivalent is required
- CNA license preferred
