We are looking for a creative, highly organized, and energetic Part-Time Event Organizer to bring our school events to life.
Job PurposeThe Part-Time Event Organizer will be responsible for conceptualizing, planning, and seamlessly executing a variety of school events, with a special focus on child-centric activities, parents' meets, and seasonal celebrations.
Core Responsibilities- Pre-Event Planning: Develop engaging event concepts suitable for children and families. Create detailed event timelines, establish clear objectives, and meticulously manage the allocated event budgets.
- Vendor & Venue Management: Source and negotiate contracts with external vendors, including caterers, audio-visual (AV) technicians, decorators, and entertainers (magicians, puppet shows, face painters, etc.).
- Logistics & Operations: Coordinate guest and student registrations, design seating layouts, plan travel/transport arrangements if required, and manage all necessary equipment and props.
- On-Site Execution: Supervise and direct school event staff, manage the schedule flawlessly in real-time, handle VIP guests/parents, and swiftly troubleshoot any issues that arise on the event day.
- Post-Event Wrap-up: Oversee the post-event breakdown, ensure smooth vendor clearance and payments, conduct feedback surveys among parents/staff, and analyze the overall ROI and success metrics of the event.
Key Requirements & Skills- Experience: Minimum 1 year of proven experience in event coordination or management. Prior experience organizing kids' events, school functions, or birthday parties will be considered a significant advantage.
- Skills: Strong negotiation capabilities, budgeting precision, and proactive problem-solving skills.
- Communication: Excellent interpersonal, communication, and client-servicing (parent/school management interaction) skills.
- Resilience: Proven ability to work efficiently under high pressure, manage tight deadlines, and multitask.
- Flexibility: Willingness and flexibility to work irregular hours, including evenings and weekends, based on the school's event calendar.
