EFI is seeking an experienced and detail-oriented HR Representative with approximately 6 years of experience to join our HR team. This role will involve managing a variety of HR operations, including onboarding, offboarding, payroll input to finance, and handling invoices for both the APAC and US regions. The ideal candidate will have a strong understanding of HR processes, a keen eye for detail, and the ability to handle sensitive data.
Key Responsibilities:
Onboarding:
• Manage the end-to-end onboarding process for new hires across APAC and US regions.
• Coordinate with hiring managers, HRBPs, and IT to ensure new hires are properly onboarded.
• Ensure all pre-employment documentation is collected and reviewed in accordance with company policies.
• Facilitate new hire orientation, including explaining company policies, benefits, and key HR systems.
• Work closely with the HRIS team to ensure that employee data is accurately entered into the HR system.
Offboarding:
• Manage the offboarding process for employees leaving the company, ensuring a smooth and compliant exit.
• Collect online exit interviews and work on quarterly exit analysis
• Ensure the collection of company property, final documentation, and processing of termination paperwork.
• Coordinate with HRIS and IT to ensure proper system updates are made after employee terminations.
Invoices Management (APAC & US):
• Process and manage invoices for both APAC and US regions, ensuring timely submission to the finance department.
• Ensure invoices are accurate and align with budget approvals, working closely with the finance team.
• Creation of purchase requisition and approval
• Track and resolve discrepancies related to vendor invoices, ensuring compliance with company procurement policies.
• Provide reports and summaries on invoice processing and approvals for internal stakeholders.
Payroll Input to Finance:
• Provide timely and accurate payroll data input to the finance team for both APAC and US regions.
• Review and validate payroll data, ensuring employee hours, salaries, and benefits deductions are accurate.
• Work with finance and payroll teams to resolve any discrepancies or payroll-related issues.
• Ensure payroll compliance with local labor laws and company policies.
General HR Support:
• Assist HRBPs in responding to employee inquiries regarding HR policies and procedures.
• Maintain employee records and ensure all documentation is compliant with company policies and legal requirements.
• Support HR projects and initiatives, providing administrative assistance as needed.
Skills and Qualifications:
Experience:
• Approximately 6 years of experience in HR operations or HR administration, with exposure to onboarding, offboarding, payroll processing, and invoices management.
• Strong understanding of HR policies, processes, and compliance, especially related to APAC and US regions.
Technical Skills:
• Proficiency in HRIS systems (SAP, or other HR platforms).
• Advanced proficiency in Microsoft Excel for data analysis, payroll inputs, and reporting.
• Familiarity with invoicing systems
Communication and Interpersonal Skills:
• Excellent verbal and written communication skills with the ability to interact effectively with employees and stakeholders across all levels.
• Strong attention to detail and organizational skills to handle multiple HR processes simultaneously.
Problem-Solving Skills:
• Ability to identify and resolve discrepancies or issues in HR and payroll data with a proactive approach.
Confidentiality and Professionalism:
• Ability to handle sensitive HR data and maintain confidentiality in accordance with company policies and regulations.
Education:
• Bachelor’s degree in Human Resources, Business Administration, or a related field.
