REPORTS TO: Director of Special Services
RESPONSIBILITIES:
The Coordinator of Related Services is a full-time district related service provider who delivers direct therapeutic services to students while providing district-wide coordination, mentorship, and oversight of related services. This position ensures high-quality service delivery, compliance with IDEA and NJAC regulations, efficient scheduling, evaluation coordination, and effective collaboration between in-district and out-of-district programs.
The Coordinator serves as both a practicing clinician and a clinical leader, supporting professional growth, supervising clinical fellows and interns, and ensuring consistency and excellence across occupational therapy, physical therapy, and speech-language services.
In accordance with IDEA, N.J.A.C. 6A:14, N.J.A.C. 6A:16, and applicable New Jersey licensure regulations for related service providers, the Coordinator of Related Services shall:
Direct Student Services
? Provide direct related services to students in accordance with Individualized Education Programs (IEPs). Complete evaluations, re-evaluations, and written reports within mandated timelines.
? Participate in IEP meetings and contribute to goal development and service recommendations.
? Maintain accurate documentation, session notes, and Medicaid-compliant records.
? Monitor student progress and adjust intervention strategies as appropriate.
Evaluation Coordination (District-Wide)
? Coordinate in-district and out-of-district related service evaluations.
? Assign evaluations to appropriate providers based on caseload and expertise.
? Monitor evaluation timelines to ensure compliance with NJAC 6A:14 and IDEA regulations.
? Review evaluation reports for quality, completeness, and compliance.
? Serve as liaison with contracted agencies providing related service evaluations.
Scheduling & Service Coordination
? Develop and maintain district-wide service schedules.
? Coordinate service delivery for students in both in-district and out-of-district placements.
? Ensure appropriate service minutes are implemented as written in IEPs.
? Problem-solve scheduling conflicts and coverage needs.
? Coordinate staffing assignments based on student needs and caseload distribution.
Program Oversight & Staffing
? Monitor related service provider caseloads for equity and compliance.
? Support recruitment, onboarding, and retention of related service providers.
? Coordinate coverage during staff absences.
? Collaborate with building administrators and Child Study Teams regarding service implementation.
? Assist in developing district-wide service delivery models and best practices.
Mentorship, Clinical Fellowship & Internship Oversight
? Serve as mentor and resource for newly hired related service providers.
? Oversee and supervise Clinical Fellows, including monitoring caseloads, reviewing documentation, conducting observations, and completing required state and ASHA documentation when applicable.
? Coordinate and supervise graduate-level interns in collaboration with university programs.
? Ensure compliance with professional licensure requirements and supervision standards.
? Provide structured feedback, professional coaching, and performance guidance.
? Facilitate professional learning opportunities and promote evidence-based practices.
? Support professional growth plans aligned to district goals and student needs.
Compliance & Documentation Oversight
? Monitor IEP service implementation across the district.
? Ensure documentation aligns with district procedures and Medicaid requirements.
? Assist with preparation for audits, QSAC reviews, and compliance monitoring.
? Support data collection and reporting related to service delivery.
Communication & Collaboration
? Serve as primary liaison between related service providers and the Office of Special Services.
? Communicate regularly with CST members, case managers, administrators, and families as needed.
? Collaborate with out-of-district schools to ensure service continuity.
? Provide input on program development, expansion, and service improvement initiatives.
QUALIFICATIONS
1. Valid New Jersey certification/licensure as:
a. Occupational Therapist
b. Physical Therapist
c. Speech-Language Specialist
2. Minimum of five years of experience as a related service provider preferred.
3. Experience mentoring staff, supervising clinical fellows, or overseeing interns preferred.
4. Demonstrated knowledge of IDEA, NJAC 6A:14, and special education compliance.
5. Experience conducting evaluations and writing comprehensive reports.
6. Strong organizational, leadership, and supervisory skills.
7. Excellent communication and collaboration abilities.
PHYSICAL ABILITIES AND WORKING CONDITIONS
? Vision and hearing adequate to monitor student health and respond to emergencies.
? Ability to lift or assist students as required for medical interventions or mobility needs.
? Work is performed indoors with frequent interruptions and requires flexibility to respond to urgent student needs.
TERM OF EMPLOYMENT
Ten-month work year.
PHYSICAL ABILITIES AND WORKING CONDITIONS:

? Upper Body Mobility: use hands and fingers to feel, grasp, and manipulate small objects; manipulate fingers, twist and bend at wrist and elbow; extend arm to reach outward and upward; use hands and arms to lift objects; turn, raise and lower head.
? Strength: to lift, push, pull and/or carry objects which weigh as much as 5 pounds on a frequent basis.
? Environmental Requirements: encounter constant work interruptions; work cooperatively with others; work independently; work indoors.
? Mental Requirements: read, write, understand, interpret and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgment and the ability to process information quickly, learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile, and coordinate information and records.
