Role Overview
We are looking for a highly organized, proactive and execution-oriented Executive Assistant to the Director who can act as the Director's right hand.
This role goes beyond traditional secretarial work. The ideal candidate will coordinate across multiple departments, drive execution, ensure timely follow-ups, and help the Director focus on strategic priorities by managing operational workflows efficiently.
The position is based at our Corporate Office in Jaipur.
Key Responsibilities
Executive Support
- Manage the Director's calendar, appointments and daily schedule.
- Coordinate meetings, conferences and business travel.
- Prepare meeting agendas, MOM (Minutes of Meeting), and ensure closure of action points.
- Screen calls, emails and correspondence on behalf of the Director.
Department Coordination
- Follow up with department heads on assigned tasks.
- Track project progress and ensure timely completion.
- Monitor KPIs, deliverables and deadlines.
- Escalate delays and provide regular status updates to the Director.
Communication
- Draft professional emails, letters, presentations and reports.
- Coordinate communication between the Director and internal/external stakeholders.
- Maintain complete confidentiality in all communications.
Documentation & Reporting
- Prepare management reports, dashboards and presentations.
- Organize important business documents and maintain digital records.
- Compile business data for decision-making.
- Maintain MIS reports and trackers.
Project Management
- Support strategic initiatives assigned by the Director.
- Coordinate cross-functional projects.
- Ensure execution of management decisions.
- Monitor timelines and deliverables.
Office Administration
- Manage confidential files and executive records.
- Coordinate with vendors, clients and senior management.
- Handle travel bookings and expense reports.
- Ensure smooth administrative operations for the Director's Office.

Qualifications
- Bachelor's Degree in Business Administration, Commerce or a related field.
- MBA will be an added advantage.
- Prior experience supporting CXOs, Directors or Senior Leadership is preferred.
Experience
- 3–8 years as an Executive Assistant, Executive Coordinator, Executive Office Manager, or similar role.
- Experience in Logistics, Supply Chain, Manufacturing, Infrastructure or Corporate environments will be preferred.
