What you'll do
As a TA Operations Coordinator, you will work to support our Talent Acquisition organization with compliance and audit, systems administration and support as well as various administrative processes. TA Operations Coordinators are an integral part of the TA function and oversee many critical operational and administrative processes - such as headcount management and the opening of requisitions, verifying the accuracy and compliance of our job descriptions, auditing and monitoring data hygiene in our systems, adherence to internal processes, and administration of various templates such as Job Descriptions and Offer letters. You will have subject matter expertise with regards to the various systems that are utilized by the TA function and will be a point of contact to interface with our HRIS partners in the administration of such systems. You will work with an internal shared ServiceNow ticketing system and have work assigned and tracked with defined SLAs for particular activities. You provide exceptional customer service to both external and internal stakeholders and work professionally, efficiently, and meticulously.
This role will provide support, knowledge, communication and partnership to the Talent Acquisition team and the entry and audit of key employment information into our Applicant Tracking System. You will partner with Recruiters, TA Operations teammates, TA Services and various stakeholders in the People Team organization to ensure that all details in the system are accurate and comprehensive every step of the way.
This position is an individual contributor role reporting to the Director, Talent Acquisition Operations
Responsibilities
- Assist and audit the creation of positions and requisitions in Workday HRIS, interfacing with Hiring Managers, Finance, HRBPs, Recruiters, and others along the way, managing the entry and validation of all employment position-fulfillment information into the Applicant Tracking System (ATS)
- Audit and maintain job info section and job descriptions, in compliance with regulatory guidelines, throughout the full life cycle of the requisition to ensure compliance and data accuracy, ensuring necessary approvals are included across all jobs
- Maintain and assist the timely tracking of various recruiting processes and assist with data integrity within the ATS (iCIMS) and HRIS (Workday)
- Audit details provided, research discrepancies between ATS and HRIS systems and ensure accuracy, including but not limited to: job and offer details, position restrictions, and change in status to headcount
- Be a resource and subject matter expert to support the TA organization with iCIMS ATS, working with bug fixes and enhancements in functionality in conjunction with DTS
- CRM Event Management and set up support for TA recruiting events and conferences
- Provide knowledge on operational processes and applications, and administrative support, as it relates to the operations of the Recruiting team
- Provide knowledge and coordinate with TA Services organization with regards to any enablement of operational processes and software applications
- Miscellaneous work including but not limited to: system configuration testing; documentation; ad hoc reporting requests
- Communicate with business partners and managers as errors are discovered, for ongoing process refinement and training opportunities for our teams
- Continually seek opportunities to build, improve, and impact operational processes
- Manage shared inbox and ServiceNow tickets via team email alias on a rotating basis to ensure all tasks are completed and all inquiries are responded to within given SLA
Job Designation
Remote: Employee is not required to be in or near an office frequently and works from a designated remote work location for the majority of the time.
Positions at Docusign are assigned a job designation of either In Office, Hybrid or Remote and are specific to the role/job. What you bring
Basic Qualifications
- BA/BS degree or relevant work experience
- 2+ years of professional work experience
Preferred Qualifications
- Experience working with an Applicant Tracking System (iCIMS preferred) and HRIS (Workday preferred)
- Ability to provide exceptional, consistent customer service to internal and external clients
- Self-directed problem solver with a desire to contribute to the organization’s reputation and success
- Solid computer skills, including experience with G-Suite and MS Office (Excel)
- Exceptional attention to detail
- Experience working with multiple lines of business in a high-volume setting
- Previous audit experience, report generation, and process implementation is a plus
- Professional, effective and approachable communication style, you build rapport easily and understand the value of forging positive working partnerships in both your direct team and the wider business
