Job Title: Documents Head (Garment Export)
Experience Required:
5–6+ years in export documentation in garment/apparel industry.
Location:
Sector 34 Behrampur Road , Gurgaon
Job Summary:
The Documents Head will be responsible for managing end-to-end export documentation processes, ensuring compliance with international trade regulations, and coordinating with internal teams, buyers, and logistics partners. The role demands accuracy, timeliness, and strong knowledge of garment export procedures.
Key Responsibilities:
1. Export Documentation Management
Prepare and review export documents such as:
Commercial Invoice
Packing List
Shipping Bill
Bill of Lading / Airway Bill
Certificate of Origin
GSP / FTA documentation
TC Documents
Ensure all documents are accurate and comply with buyer and country-specific requirements.
2. Shipment Coordination
Coordinate with CHA (Custom House Agents), freight forwarders, and shipping lines.
Track shipment schedules and ensure timely dispatch of documents.
Handle pre-shipment and post-shipment documentation.
3. Compliance & Regulatory
Ensure compliance with DGFT, Customs, RBI, and other regulatory bodies.
Handle export incentives like Duty Drawback, RoDTEP, etc.
Stay updated with changes in export-import policies.
4. Banking & Payment Documentation
Prepare and submit documents for:
Letter of Credit (LC)
Bank negotiation
Export collection
Liaise with banks for discrepancy handling and document negotiation.
5. Buyer Coordination
Communicate with buyers for documentation requirements and approvals.
Ensure adherence to buyer-specific formats and timelines.
6. Team Management
Lead and supervise the documentation team.
Assign tasks, monitor performance, and ensure accuracy and efficiency.
Train team members on export procedures and compliance.
7. Record Keeping
Maintain proper documentation records (physical & digital).
Generate reports on shipments, documentation status, and discrepancies.
Ensure audit readiness at all times.
Key Skills & Competencies:
Strong knowledge of export documentation in garment industry
Understanding of international trade terms (Incoterms)
Attention to detail and accuracy
Strong coordination and communication skills
Problem-solving ability for documentation discrepancies
Qualifications:
Bachelor’s degree (Commerce / Business / Logistics preferred)
Certification in Export-Import Management (preferred but not mandatory)
Preferred Experience:
Experience in garment/apparel export house
Exposure to multi-country exports (US, EU, UK, etc.)
Hands-on experience with LC documentation and export incentives
Key Performance Indicators (KPIs):
Zero/Minimal documentation errors
On-time document submission
Compliance adherence rate
Shipment clearance efficiency
Reduction in bank discrepancies
