Job Summary:
The Manager – Documentation plays a vital role in strengthening institutional effectiveness at Bharatiya Jain Sanghatana by integrating high-quality documentation systems across thematic interventions. The role will ensure that large-scale social initiatives are supported by structured, rigorous documentation and evidence-based reporting. The incumbent will be responsible for translating programme data, field learnings and implementation insights into analytical reports, strategic documents and narratives that inform leadership decisions, donor engagement and national-level positioning. This position requires impeccable written and verbal communication skills, strong analytical capability and a systems-thinking approach. A strategic mindset, intellectual rigor and strong learning orientation are essential to support BJS’ mission of scalable nation-building initiatives.
Key Responsibilities:
(a) Strategic Documentation & Organizational Alignment:
- Support the BJS leadership in developing multi-year strategic plans and annual operational frameworks/roadmaps.
- Develop strategic briefs and decision-support documents for management and governing bodies in collaboration with MLE, programme, and various other departments.
- Assist the Director Documentation in creating concept notes, logical frameworks, process documents, SOPs, narrative reports, success stories etc.
(b) Programme Documentation & Systems Strengthening:
Assist in designing and institutionalization of standard documentation systems across various thematic interventions.
Ensure systematic documentation of programme models, processes, implementation frameworks and innovations.
Develop SOPs, operational manuals and knowledge repositories to strengthen organizational systems.
Maintain a centralized documentation archive for institutional memory and compliance.
(c) Impact Reporting:
Assist in the preparation of analytical reports, thematic studies, and institutional impact documents.
Synthesize quantitative data and field insights into structured, evidence-based narratives.
Support development of annual reports, board reports and national-level presentations.
Strengthen evidence-informed storytelling to enhance credibility with donors, partners, and government stakeholders.
(d) Knowledge Management & Learning:
Assist in the establishment of systems to capture lessons learned and best practices from various programmes, and cross-programme insights.
Adopt a culture of reflective learning and continuous improvement.
Document scalable models and replicable frameworks for wider dissemination.
(e) Cross-Functional Coordination:
Work closely with the programme, MEL, partnerships, finance and other teams to ensure that documentation aligns with implementation and reporting needs.
Provide documentation support for strategic programme reviews, donor management, and other external engagements.
Qualifications and Experience:
Master’s degree in Development Studies, Social Work, Management, or a related field.
Minimum 5 to 7 years of relevant experience in documentation, partnerships, advocacy, donor management or institutional fundraising within the development/non-profit sector.
Experience working with senior leadership teams supporting strategic documentation.
Key Skills and Competencies:
Impeccable command of written and spoken English, with the ability to draft high-quality strategic documents, analytical reports and institutional communication.
Strong analytical skills with the ability to interpret complex data, synthesise insights and translate them into structured, evidence-based narratives.
Demonstrated competence in strategic planning, including development of long-term roadmaps, programme frameworks and performance tracking systems.
Ability to think conceptually while maintaining strong attention to detail and precision in documentation.
