Job Summary
We are seeking an experienced Documentation Specialist to take end-to-end ownership of our ocean export documentation and premium client coordination. In this role, you will be responsible for the flawless execution of House and Master Bills of Lading (HBL/MBL), timely carrier portal filings, and providing world-class communication to our national and multinational clients.
Key Responsibilities
- BL Generation & Compliance: Draft, review, and issue completely error-free HBLs and MBLs. Manage advanced workflows including Switch BLs, Telex Releases, and Seaway Bills.
- Filing & Cut-off Management: Execute Shipping Instructions (SI) and file advanced manifests across various carrier portals, strictly adhering to vessel cut-off timelines.
- Client Coordination & Success: Serve as the main professional point of contact for corporate shippers. Provide proactive container tracking, milestone updates, and daily status reports. [1]
- Discrepancy Resolution: Partner actively with shipping lines, overseas networks, and customs brokers to swiftly resolve cross-border document issues, weight mismatches (VGM), or amendment requests. [1]
- Data Validation: Verify commercial invoices, packing lists, and custom shipping bills to guarantee 100% data alignment and regulatory compliance before loading.
Required Skills & Qualifications
- Experience: 2–5 years of continuous experience within a Freight Forwarding.
- Domain Expertise: Complete clarity on Ocean Incoterms, port-to-port documentation cycles, and shipping line workflows.
- Communication: Exceptional written and spoken English skills; highly competent in corporate email etiquette.
- Software Proficiency: Hands-on experience with standard logistics ERP platforms (e.g., CargoWise, Visual Impex, Odex) and MS Excel.
- Core Competencies: Extreme attention to detail, strong problem-solving abilities, and the capacity to handle high-volume export cycles under tight deadlines.
