Documentation & Administrative Executive
Role Overview
We are looking for a highly organized and detail-oriented Documentation & Administrative Executive to manage all company records, documentation, and administrative processes. The candidate will be responsible for maintaining bills, quotations, invoices, expense records, company registers, and ensuring proper storage and retrieval of all organizational documents.
Key Responsibilities
Maintain and organize all company documentation, both physical and digital.
Prepare, manage, and track quotations, invoices, purchase orders, and bills.
Record and maintain company expense data and supporting documents.
Manage vendor, client, employee, and project-related documentation.
Maintain statutory and internal company registers and records.
Ensure proper filing, indexing, and archiving of documents for easy retrieval.
Monitor document revisions and maintain updated versions of company records.
Support management with administrative and documentation-related tasks.
Coordinate with different departments for collection and maintenance of records.
Maintain confidentiality and security of company information and documents.
Generate reports and summaries related to expenses, documentation status, and records when required.
Ensure documentation compliance with company procedures and standards.
Required Skills
Strong organizational and record-keeping skills.
Excellent attention to detail and accuracy.
Proficiency in Microsoft Excel, Word, and Google Workspace.
Good communication and coordination skills.
Ability to manage multiple tasks and deadlines effectively.
Knowledge of document management systems is an added advantage.
Basic understanding of accounting documents and office administration.
Preferred Qualifications
Bachelor's degree in Commerce, Business Administration, Management, or a related field.
1–3 years of experience in documentation, administration, office management, or a similar role.
Freshers with exceptional organizational skills may also apply.
