developing deep large-scale AI and ML solutions for the Construction Industry. With a focus on AI,
computer vision, and deep neural networks, we have extended our capabilities into the construction
industry with our innovative AI-powered construction management solution, “Kael” — an AI project manager that predicts delays, flags risks, automates reporting, and prevents cost overruns with
real-time construction intelligence. Our hardware platform, “Observance”, uses LiDAR scanning,
thermal imaging, and AI-powered analysis to deliver BIM Models, deviation detection, and as-built
intelligence. We are committed to pushing the boundaries of technology across diverse sectors.
Role Description
We are looking for a technically strong Document Controller & Platform Administrator to manage the complete documentation lifecycle on our construction projects and to serve as the primary interface between the project team and our AI-powered project management platform. This role is critical: nearly all other team members come from construction backgrounds, and this person will be relied upon to support, guide, and troubleshoot their interactions with the platform — ensuring all project data is accurate, timely, and enabling AI-driven project intelligence. This is a full-time, on-site role based in Ahmedabad.
Responsibilities
1) Platform Administration & Team Enablement
● Act as the primary platform interface for all team members — civil, MEP, quality, safety, and design coordinators — supporting and guiding their day-to-day interactions with the platform.
● Ensure all relevant project documents are uploaded accurately and on time to enable AI validation, compliance checks, and document tracking.
● Configure and maintain document workflows, approval routing, and submission trackers within the platform.
● Monitor the completeness and accuracy of data entered by team members; flag gaps or inconsistencies to the Project Manager.
● Support onboarding and ongoing training of team members on platform workflows and document management procedures.
● Troubleshoot data entry issues and guide team members in correctly using the platform for their respective functions.
2) Document Management & Control
● Establish and maintain the project document management system (DMS), ensuring documents are correctly named, versioned, and archived.
● Control the receipt, registration, distribution, and archiving of all project documents including drawings, specifications, RFIs, submittals, contracts, and correspondence.
● Manage drawing revision control to ensure all site teams are working from the current approved revision at all times.
● Coordinate document review and approval cycles with clients, consultants, and contractors; track submission and response deadlines.
● Issue document transmittals and maintain a comprehensive transmittal register.
3) Compliance, Reporting & Handover
● Support RERA documentation workflows, ensuring project records remain audit-ready for regulatory filings, milestone disclosures, and delivery commitments.
● Compile and maintain statutory document registers including permits, NOCs, authority approvals, and inspection certificates.
● Prepare documentation packages for client handover, third-party audits, and RERA compliance reviews. ● Produce periodic document status and platform activity reports for the Project Manager and client.
Qualifications
● 2–4 years of experience in document control, IT support, enterprise platform administration, or a closely related role. Experience on construction or infrastructure projects is an advantage but not mandatory.
● Degree or diploma in Information Technology, Computer Science, or a related technical discipline.
● Strong proficiency with digital document management systems (Aconex, Procore, ProjectWise, SharePoint, or equivalent).
● Comfortable learning and administering new SaaS or agentic platforms; prior experience with AI-powered project tools is a plus.
● Ability to communicate technical platform concepts clearly to non-technical construction professionals.
● Understanding of construction documentation workflows — drawing registers, RFI processes, submittal cycles — is preferred.
● Highly organised, detail-oriented, and reliable with strong MS Office skills.
