Job Summary
We are seeking a Veeva Vault Functional Consultant/ DMS Functional Consultant to partner with business stakeholders and design, optimize, and implement Document Management System (DMS) solutions for our client. This role focuses on translating business processes, document lifecycles, and compliance requirements into scalable, compliant, and user-friendly DMS solutions. The ideal candidate brings strong functional expertise in DMS platforms within regulated environments.
Key Responsibilities
1. Business Analysis & Requirements Gathering
- Analyze existing systems, processes, and taxonomy structures
- Engage with cross-functional teams (Regulatory, Quality, Clinical, R&D, Manufacturing, IT) to understand document workflows and pain points
- Capture and document business requirements, user journeys, metadata models, workflows, and security needs
- Conduct workshops, stakeholder interviews, and process mapping sessions
2. Solution Design & Functional Architecture
- Design document types, metadata schemas, taxonomy structures, and controlled vocabularies
- Define workflows, lifecycle states, version control, and approval processes
- Recommend scalable and compliant DMS architecture aligned with business needs
- Provide industry best practices based on prior implementations
- Support DMS platform evaluation and selection
- Collaborate with technical teams and vendors to ensure functional alignment
3. Documentation & Governance
- Prepare functional design documents (FDDs), configuration specifications, and traceability matrices
- Define SOPs, governance models, naming conventions, and data standards
- Establish content strategy and long-term information architecture
4. Testing, Validation & Change Management
- Support UAT planning, test case creation, execution, and defect resolution
- Ensure compliance with GxP, 21 CFR Part 11, Annex 11, and data integrity standards
- Partner with change management and training teams to drive adoption
5. Cross-Functional Collaboration
- Act as a liaison between business stakeholders and technical teams
- Communicate functional and technical concepts clearly to diverse audiences
- Provide ongoing functional support during implementation and post go-live
Required Skills & Qualifications
Technical & Functional Skills
- Strong experience with DMS platforms (e.g., Veeva Vault, OpenText, Documentum, SharePoint)
- Expertise in requirements gathering, process mapping, and solution design
- Experience with document lifecycle management, metadata modeling, and taxonomy governance
- Understanding of system integrations (e.g., RIM, QMS, or related platforms)
Domain & Compliance
- Strong knowledge of regulated environments (GxP, 21 CFR Part 11, Annex 11)
- Experience in pharmaceutical, biotech, or medical device industries
Professional Skills
- Excellent communication, stakeholder management, and presentation skills
- Ability to work with global teams and manage multiple priorities
Education & Experience
- Bachelor’s degree in Life Sciences, Information Systems, or related field
- 5–8 years of experience in DMS functional/consulting roles
- Experience designing and implementing enterprise DMS solutions preferred
