Job Summary
The Project Coordinator (PC) supports planning, coordination, tracking, and administrative execution of projects and programs within the PMO. The role partners with Project/Program Managers and cross-functional teams to ensure projects are delivered on time, within scope, and aligned to PMO processes. The PC ensures operational readiness, accurate documentation, financial coordination, and lifecycle compliance across systems, vendors, and stakeholders.
Roles and Responsibilities
- Support project setup, conversions, and lifecycle execution from initiation to closure
- Maintain schedules, trackers, documentation, dashboards, and status reports
- Coordinate cross-functional activities (Supply Chain, Finance, Engineering, Sales, Warehouse, Vendors, Subcontractors). Collaborates effectively with Project managers to ensure smooth project execution and timely delivery.
- Track scope, cost, and schedule changes; escalate risks as needed
- Manage equipment ordering, shipment tracking, inventory, asset tracking, and RMA processes
- Coordinate vendor onboarding and subcontractor scheduling
- Support billing, invoicing, month-end submissions, and financial tracking
- Ensure field readiness including logistics, installation coordination, and material availability
- Prepare meeting minutes, action logs, and leadership reporting update
- Complete project close-out documentation and ensure data accuracy in PM systems.
- This position is responsible for coordinating across the project team, including but not limited to the responsibilities listed above.
- Adhere to PMO methodologies, lifecycle processes, and compliance requirements.

Job Qualifications
Education/Certifications
- 4-year college degree - with business, administration, or technical concentration preferred.
- CTS or other AV certification preferred.
Required/Desired Knowledge, Experience and Skills:
- Ability to handle multiple priorities across multiple projects in an organized and efficient manner
- Attention to details
- Strong organizational skills
- Strong communication skills – verbal, face-to-face and by phone, and written – for both internal and external interactions
- Knowledge of all Microsoft productivity products – Outlook, Excel, Word, Project (preferred) – and strong technical aptitude to learn new IT programs
- Experience working with ticketing software is a plus
- Familiarity with remote Project Managing system service and installations with outsourced labor, vendors and contractors a plus
