Job Description – Purchase Executive
Location: Office – Gota, Ahmedabad, Gujarat
Job Type: Full-time
Experience Required: 0–3 Years
Working Days: Monday to Saturday
Working Hours: 10:00 AM to 7:00 PM
Position Overview:
We are seeking a Purchase Executive with a technical background in mechanical engineering and knowledge of the steel line. The ideal candidate should have 0–3 years of experience in procurement or supply chain within the PEB / steel / fabrication industry. This role will be responsible for sourcing, negotiating, and purchasing quality materials while ensuring cost-effectiveness and timely delivery to support ongoing projects.
Key Responsibilities:
1. Vendor Identification and Development- Identify, evaluate, and onboard suppliers for materials such as steel sheets, coils, fasteners, insulation, roofing, cladding, and accessories.
- Develop and maintain strong working relationships with reliable and approved vendors.
- Conduct periodic vendor performance evaluations based on price competitiveness, quality compliance, delivery timelines, and service support.
2. Procurement Planning- Plan and execute procurement activities in line with production schedules and project requirements.
- Coordinate with production, planning, and project teams to assess material demand and timelines.
- Ensure uninterrupted supply of materials to support manufacturing and project execution.
3. Request for Quotation (RFQ) & Negotiation- Prepare and circulate RFQs to multiple approved vendors.
- Analyze and compare quotations considering cost, quality, payment terms, and delivery schedules.
- Negotiate prices, delivery timelines, and commercial terms to achieve optimal procurement value.
4. Purchase Order Management- Prepare and issue Purchase Orders (POs) as per approved quotations and internal authorization limits.
- Ensure POs clearly mention technical specifications, quantities, delivery schedules, and commercial terms.
- Amend and revise POs as required in coordination with internal stakeholders.
5. Material Follow-up- Track purchase orders and follow up with suppliers to ensure timely dispatch and delivery.
- Proactively address delays or supply issues to avoid production or project disruptions.
6. Quality and Specification Check- Ensure all procured materials conform to approved drawings, specifications, and quality standards.
- Coordinate with the Quality Control team for inspections, test certificates, and material approvals when required.
- Handle rejection or replacement of non-conforming materials.
7. Inventory Coordination- Coordinate with the Stores/Warehouse team to monitor inventory levels and material availability.
- Maintain optimum stock levels to prevent overstocking or material shortages.
- Support inventory audits and reconciliation activities.
8. Documentation and Record Keeping- Maintain complete procurement records including vendor details, RFQs, quotations, purchase orders, contracts, and delivery records.
- Ensure proper documentation for internal audits, statutory compliance, and management review.
9. Cost Control- Monitor market trends and price fluctuations of steel and other raw materials.
- Propose cost-saving initiatives, alternate vendors, or substitute materials without compromising quality or project requirements.
- Support cost reduction and procurement optimization initiatives.
10. Coordination with Accounts- Verify vendor invoices against purchase orders and delivery documents.
- Coordinate with the Accounts department for timely invoice processing and vendor payments.
- Resolve billing discrepancies and commercial issues with vendors.
11. Logistics Coordination- Coordinate with logistics and transporters for safe and timely delivery of materials to factory or project sites.
- Ensure proper packaging, loading, and handling of materials to prevent damage during transit.
