Job Responsibilities
Lease Setup, Governance & Compliance
- Oversee end-to-end lease setup, maintenance, and governance in Yardi Voyager (and related workflows), ensuring accurate lease abstracts, recurring charges, CAM recovery structure, critical dates, and lease data integrity.
- Establish and enforce standards for lease setup, amendments, and termination across the portfolios to ensure consistent application of policies and system configurations.
- Oversee CAM processes, including recovery structure maintenance, year-end CAM reconciliations, and annual estimate resets; ensure alignment to lease terms and portfolio requirements.
- Ensure recoverability logic, caps, exclusions, gross‑ups, reconciliations, and billing methodologies are accurately applied and consistently executed across all assets.
- Monitor compliance with lease terms and accounting policies related to straight-line rent, lease classification, payment plans, and amortization/CapEx and other specialized billing structures, as applicable.
Leadership, Reporting & Stakeholder Support
- Serve as the primary subject matter expert for lease administration and lease accounting inquiries across departments; interpret complex commercial lease language and ensure consistent application.
- Partner with Property Management and AR/Collections to resolve recovery‑related discrepancies, tenant inquiries, and billing disputes.
- Partner with Technology/IT and external vendors on system upgrades, configuration changes, and process improvements (including recovery module enhancements and lease workflow optimization).
- Support monthly and quarterly close, internal and external audits, and ad-hoc lease related requests, including acquisition, disposition, refinancing, and portfolio reviews.
- Lead, coach, and develop staff; provide training, mentorship, performance management, and workload prioritization aligned to volume and complexity.
- Maintain accurate lease documentation and supporting materials in the document repository; ensure records are complete, accessible, and aligned to system data.
- Oversee reporting to track pivotal lease dates and actions (options notices, terminations, rent commencement, expirations, move-in/out, holdover, etc.), escalating risks as needed.
Job Qualifications
- Bachelor’s degree in Accounting, Finance, Real Estate, Business, or related field required.
- 10+ years of progressive experience in lease administration, lease accounting, or commercial real estate operations/finance, including 5+ years in a supervisory or lead capacity.
- Strong knowledge of commercial lease structures, key clause interpretation, CAM recoveries, and general property/lease accounting concepts (including straight-line rent and lease classification).
- Advanced Excel skills; proficiency in Microsoft Outlook, Word, and PowerPoint.
- Experience with Yardi Voyager (required) and familiarity with related platforms (e.g., Salesforce and document repository/workflow tools) preferred.
- Excellent written and verbal communication skills with the ability to partner effectively across Leasing, Property Management, Construction, Transactions, Technology, and Accounting teams.
- Demonstrated ability to set priorities, manage multiple projects, and meet deadlines in a fast-paced, high-volume environment (including close and reporting cycles).
- Strong analytical skills, exceptional attention to detail, and a results-driven approach with an interest in improving processes, controls, and enabling technology.
- Ensure the operating model, staffing model, and workflows are structured and resourced to scale effectively with portfolio changes, including acquisitions, dispositions and other fluctuations in lease volume.
