About the role

Reporting to the Director of Programs, the Program Specialist supports the implementation of Direct Relief’s health programming in priority areas, focusing on the delivery of medical material, financial assistance, and infrastructure support. This role manages day-to-day program operations, ensuring timely and effective implementation of activities across multiple regions. 

The Specialist works cross-functionally with internal teams and external partners to coordinate donation fulfillment processes and align operational activities with strategic program goals. Additionally, the role contributes to program planning, tracking, and evaluation efforts to enhance impact and expand access to essential health resources for communities affected by poverty or emergencies. 

Key Duties and Responsibilities: 

Program Implementation & Donation Fulfillment

  • Execute the donation fulfillment process for the delivery of medical material to healthcare partners.
  • Lead scheduling and prioritization of medical material shipments in coordination with internal teams, aligning delivery timelines with program needs.
  • Monitor inventory and product movement related to health priority area programs.
  • Coordinate with internal and external teams to align product supply with program demand in priority health areas.
  • Understand international logistics, including customs and cold-chain requirements. 

Healthcare Partnership Management

  • Build and maintain strong relationships with healthcare organizations and other program beneficiaries.
  • Engage regularly with partner organizations to understand their needs and gather feedback.
  • Maintain accurate partner records and contact history in Direct Relief’s CRM system. Representation & Organizational Support
  • Represent Direct Relief at meetings, conferences, and partner events.
  • Support broader organizational goals and contribute to the continuous improvement of program delivery. 

Qualifications, Skills, and Experience: 

  • Bachelor’s degree or equivalent work experience; 
  • familiar with computers and standard software applications such as Microsoft Windows, Word, and Excel.
  • At least three years of work experience.
  • Experience working in SAP or similar ERP system preferred.
  • Working knowledge of CRM systems.
  • Multi-tasking skills and the ability to manage and prioritize multiple projects.
  • Able to provide a high level of customer service.
  • Ability to interact with and manage external parties with professionalism and discretion.
  • Ability to work independently with minimum supervision.
  • Strong communication skills, both written and oral.
  • Detail oriented with the ability to take initiative and work independently.
  • Demonstrated ability to prioritize tasks and meet deadlines.
  • Ability to pass a background check and toxicology screening.
