POSITION OVERVIEW
The Design Project Associate (DPA) serves as the operational backbone of each project, ensuring
seamless execution from design finalization to project handover. Acting as the key liaison between the client,
studio team, vendors, and site personnel, the DPA manages schedules, logistics, and execution quality. This role
requires a blend of project management capabilities, attention to detail, customer-centricity, and the ability to
handle day-to-day coordination of deliveries, installations, issue resolution, and client communication.
ROLE AND RESPONSIBILITIES
Project Planning & Kick-off
● Review approved designs and client requirements to build project timelines.
● Coordinate with Studio Admin, A&ID, and Field Technicians to align resources and schedules.
● Create project trackers, work orders, and installation plans based on design approvals.
● Set up internal project kick-off meetings and assign responsibilities.
● Obtain necessary internal and client-side approvals before commencement.
● Ensure readiness of site (civil work, electrical, plumbing) for installation.
Client Engagement & Progress Updates
● Act as the single point of contact for clients during project execution.
● Share regular updates on progress, milestones, and timelines.
● Arrange site visits and walkthroughs during key execution phases.
● Collect client feedback and manage expectations throughout the journey.
● Address client queries or issues with empathy and speed.
Execution Monitoring & Issue Resolution
● Oversee on-site installation work with Field Technicians and quality teams.
● Track daily progress, resolve on-ground issues, and escalate critical blockers.
● Ensure work is performed according to drawings, design specifications, and standards.
● Manage on-site quality checks and rectify deviations or damages immediately.
● Coordinate snag closure and final touch-ups prior to handover.
Vendor & Logistics Coordination
● Liaise with vendors and suppliers to schedule material dispatch and delivery.
● Track movement of products and installations from warehouse to client site.
● Coordinate installation teams, carpenters, electricians, and other specialists.
● Monitor availability of installation kits, hardware, and site tools.
● Ensure product tagging, inventory matching, and material verification at delivery.
Documentation & Handover
● Maintain detailed project documentation including progress logs, checklists, and approvals.
● Prepare snag lists, handover documents, and closure forms.
● Ensure client signatures on key milestone completions and feedback forms.
● Upload all records into the system (CRM/project tracker) for audit and tracking.
CRITICAL COMPETENCIES
● Strong client management and interpersonal skills
● Knowledge of interior execution workflows and vendor management
● Proficiency in MS Excel, trackers, and project scheduling tools
● Strong ownership, time management, and attention to detail
● Calm under pressure and solution-oriented mindset
QUALIFICATIONS AND EXPERIENCE
● Experience: 2+ years of experience in project coordination or site execution (interiors/modular
projects). Familiarity with technical drawings and layout plans.
