Job Description – Assistant Estate Manager
Position Title: Assistant Estate Manager
Department: Administration / Facilities
Reporting To: Estate Manager
Location: Waterstones
The Assistant Estate Manager (AEM) supports the Estate Manager in ensuring smooth, efficient, and safe operations at Waterstones. The AEM oversees night‑shift operations, acts as the head of property management during night hours, and ensures all critical services remain operational to support tenant activities at the site.
- Key Responsibilities
- Estate Operations & Night Shift Management
- Manage night‑shift estate operations and act as the head of property management during nighttime.
- Lead all night‑shift operations - technical, security, housekeeping, customer experience, and front desk for tenant service.
- Ensure critical services essential for tenant operations remain up and running during the night.
- Maintenance Oversight
- Oversee preventive and predictive maintenance activities.
- Ensure timely resolution of maintenance issues reported during night operations.
- Maintain asset records and escalate critical issues to the Estate Manager.
- Safety, Compliance & Emergency Readiness
- Ensure Emergency Response Team) and other safety systems are functional and ready.
- Conduct night safety audits and ensure compliance with required safety standards.
- Manage incident reporting and escalate emergencies as per protocol.
- Conduct night safety drills.
- Vendor & Staff Coordination
- Coordinate with night‑shift contractors, vendors, and service teams.
- Monitor performance of outsourced staff (security, housekeeping, technical teams).
- Reporting & Documentation
- Prepare and maintain MIS reports for the various expenditures.
- Prepare daily reports and share them with Estate Manager.
- Document incidents, maintenance logs, and compliance checks.
- Prepare and maintain the documents as per IMS and prepare the site for the audits.
- Required Qualifications
- Bachelor’s degree in engineering.
- 6-10 years of experience in facility/estate operations, preferably with night‑shift exposure.
- Skills & Competencies
- Strong understanding of property management operations.
- Strong understanding of engineering systems in building operations.
- Ability to lead and manage night‑shift teams effectively.
- Knowledge of predictive and preventive maintenance processes.
- Good understanding of safety systems and emergency procedures.
- Proficiency in MS Office and facility management tools
