Position Summary
The Patient Access Specialist – PACS Scheduler serves as a key access point for patients, ensuring accurate and efficient scheduling and registration for all imaging modalities within the PACS environment. This role is responsible for pre-registration, insurance verification, estimate creation, and point-of-service collections following coding and prior authorization review.

 

This position plays a critical role in the overall patient experience by providing clear communication regarding appointments, financial expectations, and preparation requirements, while maintaining data integrity within systems such as Meditech and Infinitt. The PACS Scheduler collaborates closely with clinical, revenue cycle, and ancillary departments to support safe, timely, and coordinated care delivery.


Key Responsibilities

Scheduling & Coordination

  • Schedule, reschedule, and cancel imaging exams across all modalities using established protocols and system codes
  • Coordinate exams requiring specialized resources in alignment with provider availability
  • Manage appointment reminders, no-show follow-ups, and next-day readiness activities
  • Monitor scheduling queues and ensure timely processing of routine and STAT orders (within 24 hours)
  • Collaborate with Oncology and specialty departments for accurate scheduling and order routing

Financial Clearance & Patient Communication

  • Verify insurance eligibility and benefits; identify authorization requirements
  • Generate patient estimates using financial tools and clearly communicate patient responsibility
  • Collect co-pays and applicable payments at point of service
  • Educate patients on payment options, financial assistance programs, and hospital policies

Order & Documentation Management

  • Receive, review, and route processed orders from Coding and Prior Authorization teams
  • Ensure all documentation is complete, accurate, and properly scanned into systems
  • Request additional clinical documentation as required per exam protocols
  • Maintain accurate records of patient interactions and scheduling activities

Qualifications

Education & Experience

  • High School Diploma or equivalent required
  • Prior experience in healthcare scheduling or patient access (hospital, clinic, or physician office) required
  • Working knowledge of medical terminology, diagnostic procedures, and insurance processes

Skills & Competencies

  • Strong communication, customer service, and problem-solving abilities
  • High attention to detail with the ability to manage multiple priorities
  • Proficiency in Microsoft Office and healthcare systems (Meditech preferred)
  • Knowledge of CPT and ICD-10 coding preferred
  • Typing speed of 40–50 WPM with accurate data entry skills
  • Ability to thrive in a fast-paced, team-oriented environment
