About the Department
The Administrative Secretary reports to a department administrator and works closely in accomplishing the purposes of the office. Under general supervision, is responsible for secretarial functions in connection with the operation of an administrative unit, exercising original judgment, discrimination, and independent thought.
Position Duties
- Studies the operation of and monitors the unit to ensure the policies, procedures and general directives are followed.
- Develops, initiates, and maintains efficient office procedures.
- Participates in budget preparation and controls; keeps unit budget accounts.
- Assists in preparing proposals for special projects.
- Helps to analyze requests from operating units.
- Collects data, performs statistical and research work assigned, and prepares rough and final drafts of reports.
- Schedules and arranges appointments and conferences.
- Meets and answers inquiries of faculty, students, and staff as requested.
- Performs other related duties as assigned.
Required Knowledge, Skills and Abilities
The individual in this job must prosses these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation using some other combination of skills and abilities:
- Demonstrate clerical ability to perform under work-related pressure due to short deadlines, etc.
- Demonstrate experience in the use of word processors/computers, spreadsheets and computer applications (Word, Excel, PowerPoint, and Office365 Applications).
- Demonstrate the ability to communicate effectively with foreign nationals, as well as American born staff, using oral and written communications.
Minimum Qualifications
- High school graduate.
- Five years office management experience.
- Excellent oral and written communication skills.
- Ability to interact with public in professional and pleasant manner.
- Computer proficiency in both Windows-based PC and Apple environments; familiarity with or ability to learn common software packages such as Microsoft Office.
