Objectives

The Data Processor is responsible for the accurate and timely processing, validation, and preparation of customer data for print and electronic communications. This includes data import, cleansing, proofing, and output file generation, ensuring that all deliverables meet Forms Express’ standards for quality, compliance, and turnaround time. The role combines technical and operational responsibilities, contributing directly to the delivery of customer jobs within SLA and supporting continuous improvement across the data processing function.

Essential Duties & Responsibilities

Data Processing & Job Execution 

  • Import, process, and manipulate customer data accurately within defined timelines and SLAs. 
  • Prepare and validate proofs for both print and electronic output, ensuring data and layout accuracy. 
  • Conduct data cleansing and verification to maintain consistency and completeness across all inputs.
  • Communicate directly with customers to clarify job requirements, data specifications, and proof expectations.
  • Provide customers with regular updates on job progress, issues, and resolutions as required. 
  • Support the transition of new or amended customer jobs into routine production.
  • Maintain data integrity by following established workflows, file management, and version control procedures
  • Actively assist during peak workload periods to ensure jobs are completed on schedule.

Quality Control & Compliance

  • Perform detailed quality checks and participate in peer reviews of data and proofs prior to customer submission.
  • Identify data or formatting errors, resolve inconsistencies, and escalate recurring issues to the Data Team Manager as required.
  • Adhere to all Forms Express quality and security standards, including ISO 9001 and ISO 27001 requirements.
  • Support investigations into non-conformances and contribute to corrective and preventive actions. 
  • Maintain confidentiality and security for all customer data handled.

Collaboration & Communication

  • Work closely with Data Processing, Customer Experience, and Development teams to resolve data-related issues and improve job accuracy. Communicate effectively with both internal stakeholders and customers regarding job requirements, timelines, and delivery expectations.  Provide updates on job progress, issues, and risks to the Data Team Manager in a timely and proactive manner.
  • Support documentation of business rules and customer requirements to ensure consistency across future job processing. Process & Continuous Improvement
  • Contribute to the review and development of data team processes, templates, and standard operating procedures (SOPs). 
  • Identify opportunities for workflow improvement, automation, and error reduction.
  •  Participate in internal training and knowledge-sharing sessions to support professional growth and team capability.

Skills & Competencies 

  • Strong attention to detail, accuracy, and process discipline. 
  • Excellent analytical and problem-solving abilities.
  • Proficient in Microsoft Excel and database management concepts. 
  • Understanding of document composition and proofing processes.
  • Strong communication and collaboration skills, with the ability to interact professionally with both customers and internal teams.
  • Time management and prioritization skills to handle multiple concurrent jobs.

Qualifications & Experience

  • Minimum tertiary qualification in Information Technology, Computer Science, or related field.
  • At least 3-4 years of experience in data processing, data analysis, or IT operations. 
  • Hands-on experience with Quadient Inspire (Designer, Automation, or Scaler) or equivalent document composition and workflow tools. ·
  • Experience in database systems such as SQL Server or equivalent.
  • Understanding of data workflows, including import, proof generation, and data validation processes.
  • Familiarity with ISO 9001 and ISO 27001 quality and security standards is advantageous.
