Role Description
• Order Entry & Data Processing: Ensure accurate and prompt order entry, updating records, attaching necessary faxes, verifying information, and reducing errors.
• Handling Inbound Calls: Answer calls within three rings, greet callers professionally, close conversations appropriately, adhere to HIPAA guidelines, and log caller details.
• Managing Outbound Calls: Follow up on appointments, confirm schedules, document calls, and maintain HIPAA compliance during interactions.
• Notification of Results: Inform clinics about critical results within specified timeframes, ensure regulatory compliance, and accurately record notifications.
• Voicemail Follow-ups: Return calls within an hour, update CRM and LIS records, and monitor the status of voicemail follow-ups.
• CRM Ticket Management: Close CRM tickets daily, ensure accurate documentation, and generate reports on ticket resolutions.
• Coordinating with Field Staff: Communicate with phlebotomists, update their schedules, document actions taken, and manage supply needs.
• Patient Data Security & Compliance: Encrypt sensitive information, follow HIPAA protocols, and conduct internal audits to ensure compliance.
• Managing Chat Support: Respond to chat inquiries quickly, gather customer information, document conversations, and create leads in the CRM system.
Qualifications
- Strong customer-facing skills, including Customer Service and Customer Experience, with a focus on empathy and professionalism.
- Proficiency in Customer Support and Customer Satisfaction practices, ensuring issues are resolved promptly and effectively.
- Excellent Phone Etiquette, active listening, and clear verbal communication skills.
- Previous experience in healthcare, clinical services, or service-focused environments will be an added advantage.
- Ability to work on-site in Vadodara, manage multiple tasks, and maintain accuracy in documentation.
- Comfort with using computer systems, scheduling tools, and basic digital workflows.
- High school diploma or equivalent; additional education in healthcare, business, or customer service is an advantage.
